Reception:
- Provide a warm welcome to community partners, volunteers, and clients who access the Dallas office. Greet and direct visitors as well as advise staff of appointments.
- Schedule appointments and coordinate schedules for staff and programs
- All phone duties.
- Conduct preliminary screenings for walk-in clients
- Distribute resource materials to clients
Administrative duties:
- Provide general administrative support for office, programs, and case managers
- Provide daily management and organization of mail, including sorting, processing and copying mail
- Complete and submit purchase orders that maintain adequate office supplies
- Manage files, file set -up, file cabinets and filing
- Preserve privacy and strict confidentiality of client personal information
- Identify and implement solutions to improve office workflow
- Attend organizational meetings on a weekly basis and as needed
- Assist in other duties, tasks, and responsibilities as identified
**Data Entry:**
- Enter client data into the Refugee Management System
- Enter client data into the Refugee Data Center
Programmatic duties:
- Assist with check distribution on an on-going basis and ensure required signatures are obtained
- Assist with intake coordination for all programs
- Assist program supervisors to conduct file reviews when not managing the office reception duties
- Process invoices and track programmatic expenses.
- * Bachelor’s degree preferred
- Must have excellent communication skills both verbal and written; high English language proficiency required; fluency in another language preferred such as Arabic, Burmese, French, Nepali, Spanish or Swahili.
- Experience working with diverse populations and/or refugee programs desired; willingness to assist newly arrived refugees better understand the conventional, American office space including educating clients on appointment making, canceling and rescheduling appointments etc.
- Must have excellent communication skills both verbal and written
- Must be flexible, capable of working independently under pressure and managing multiple priorities
- Excellent computer skills including Microsoft Office applications (Word, Excel, and Outlook) as well as Google calendaring
