Position Title: Project Support Assistant

Type of Appointment: Special short-term graded, Six months with possibility of extension

Context:

Under the overall supervision of the Head of Programme Support Unit and under the direct supervision of the Monitoring and Evaluation (M&E) Officer, the successful candidate will be responsible for the knowledge and data management of the Mission in the Philippines. He or she will provide technical support in collecting, encoding, validating, and analysing data and source information related to the projects.

Core Functions / Responsibilities:

  1. Assist in the monitoring and gathering of statistical information related to the projects implemented by the Mission.
  2. Support validation of data on a daily, monthly, quarterly, and annual basis for internal and external reports.
  3. Draft and send to supervisor special reports and statistical analysis and charts for various internal and external requests.
  4. Provide support in the interpretation of data in a presentable and relevant manner to direct and inform interventions, ongoing projects, and project proposals.
  5. Handle coordination and liaison with internal and external factors including government counterparts including the DSWD, POEA, OWWA, and the PSA on gathering statistical data on migration related trends.
  6. Assist in managing the internal Operational Database, ensuring that all relevant data on the implementation of the projects are captured and organized.
  7. Maintain user-friendly knowledge management system/hub for the Mission, ensuring the most up-to-date information is accessible.
  8. Provide administrative support in the organization and implementation of training activities through the preparation of training manuals, training kits, logistics, facilitation, documentation, and other miscellaneous aspects.
  9. Help in the implementation of the Mission’s Monitoring and Evaluation Framework.
  10. Undertake duty travel in support of knowledge management in projects.
  11. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • University degree in Social Science, Social Work, Education Business, Administration, Management, I.T. or any related field from an accredited academic institution, with minimum two years of relevant professional experience; or
  • Completed High School degree from an accredited academic institution, with four years of relevant professional experience.

Experience

  • Experience in the field of project management, information management, and monitoring and evaluation.
  • Previous work experience in international organizations is an advantage.

Skills

  • High level of computer literacy, specifically in MS Office applications.
  • Knowledge of database management systems.
  • Ability to analyse and interpret source information and data.
  • Good time management and problem-solving skills.
  • Ability to encode data with speed and accuracy.
  • High attention to detail.
  • Adept at file management (both digitally and manually).

Languages

English and French are the working languages of the UN Secretariat. For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
