The Finance Department is responsible for safeguarding the sound registration of accounting transactions as well as monitoring the financial situation and advising the management on budgets and the financial position. It has 26 staff members working in: Field Finance, Administration and Accounting Field, Administration and Accounting Office, Financial Control, Reporting and International Accounting and Inheritances & Legacies.

Accounting Administrator Field (100%)

The Accounting Administrator for the Field will hierarchically report to the Coordinator Field Accounting & Administration. You will work in close cooperation with two other Accounting Administrators and the Finance Coordinators and the Accounting managers in the field. In addition, you will collaborate with the Field Finance Advisors, Office Finance and the Salary department in HR. Externally you are in contact with external auditors during the annual audit process.

Objectives of the Position

As an Accounting Administrator Field you ensure that timely, complete, and correct bookkeeping reports are received from missions and reviewed via a thorough analysis in HQ. Additional objectives are:

• To carry out a complete administration and filing of field bookkeeping to support and ensure a smooth month-end close, end of year closure and annual audit process;

• To perform reconciliations of the field clearing accounts and make the necessary manual journal entries and corrections in HQ ERP systems.

Responsibilities and activities

In this position you ensure the smooth and effective running of different processes in close cooperation with other departments. Specifically, you are responsible for:

• Checking timeliness, completeness and correctness of the monthly project bookkeeping/administration received from missions;

• Monitoring compliance and identifying irregularities in the project administration and any deviations;

• Assuring completeness of relevant accounting documentation and proper filing;

• Checking/reviewing proper administration of the ERP system;

• Supporting the field finance teams to improve the quality of their bookkeeping;

• Providing feedback to Accounting Managers and Financial Coordinators in the mission countries, and Field Finance Advisors in HQ;

• Giving first hand support on the accounting set up and finance administration to the Emergency desk for assessment missions and new emergencies as they arise;

• Processing and monitoring reports on a frequent basis;

• Providing support during audits and the end of year closure;

• Facilitating trainings on accounting and bookkeeping modules;

• Performing occasional field visits to advise and train finance staff in missions on accounting and bookkeeping functions;

Candidate profile

We are looking for a pro-active candidate who is strong in communication and a team player with a hands on mentality.

• Education in accounting, finance, or business;

• Minimum of 2 years working experience in an accounting or finance position;

• Experience with ERP systems (e.g. Dynamics/Unifield) as well as Office 365 and Power BI;

• Attention to and interest in detail of accounting, administration and regulations;

• Fluency in written and spoken English is required, French is an advantage;

• MSF or NGO working experience is preferred;

• Remote working possible, CET time zone preferred (minimum 2 hours a day overlap).

Competencies

Planning & organizing comes naturally to you and you have an analytical mindset, you are “customer” oriented, organizationally sensitive, comfortable around systems & software, quality oriented, behaviorally flexible, with good verbal and written communication skills in English. French/Spanish/Arabic languages an asset.

A challenging position in an ambitious team in an international medical humanitarian organization. Furthermore:

• A contract for one year with a renewal option (subject to satisfactory performance) based on a fulltime appointment;

• We are open to considering work locations anywhere in the world with an MSF office present and with at least two working hours of time-zone overlap with central Europe CET. In this case, the salary (and benefits) is determined on relevant professional experience and are aligned with local policies depending on where the role is based. More details will be discussed during the selection phase;

• If the role is based in Amsterdam, a gross salary in scale 5 of a minimum of € 2,787 and a maximum of € 3,770 per month, based on relevant work experience, is offered;

• Other benefits (Amsterdam-based only) include: 30 holidays per annum (based on a fulltime appointment) and a premium-free pension plan.
