Danish Refugee Council (DRC) is an international non-governmental organization, which promotes and supports durable solutions to the problems faced by refugees and internally displaced people all over the world.
DRC is seeking a highly qualified, enthusiastic and action-oriented individual for the position of the Grants Management Officer under DRC programme portfolio in Ukraine.
In the role of the Grants Management Officer, you will be responsible for the development of timely and high quality reports, proposals, research and communications and support other program-related work streams. This will include the ability to plan and coordinate the efforts with the programme, and grants management staff and develop and maintain good relations with the field- and Kyiv-based DRC staff, relevant stakeholders and other humanitarian actors, to support implementation and coordination of DRC’s or activities.
Your main duties and responsibilities will be:
Grants Management
- Ensures all donor and internal reporting deadlines are met, and preparation for reporting performed in due time.
- Supports Grants Management Coordinator (GMC) in ensuring donors’ compliance and providing timely, thorough responses to the information request from internal and external sources, including, where required, communication with donors.
- Conducts Grants Opening and Closeout Meetings for each project in coordination with GMC.
- Supports GMC in ensuring donor compliance in drafting justifications and modifications for donor agreements.
- Supports DRC staff in the assessments of potential Implementing Partners (IPs) by applying DRC IP toolkit.
- Uses DRC Dynamics functionalities as needed.
- Supports Finance Department in donor project audits.
Programming & Operations
- Ensures timely reporting workflows and processes between sector/program teams while following the work plan and the logical interventions of the grants.
- Supports the preparation of high quality, timely progress reports to donors, partners, and the government in line with the reporting requirements.
- Internally coordinates report drafting schedules and develops reporting templates.
- Supports the Head of Programme (HoP), the Grant Management Unit and the Government Relations Coordinator in providing timely information, thorough responses to information requests from internal and external sources.
- Works closely with the programme teams and supports them in the research work and writing.
Sector development
- Supports the HoP and the GMC in overseeing proposal development processes, including overall coordination between programme and support functions and drafting, producing and reviewing high-quality concept notes and proposals.
- Supports the HoP with drafting proposal narratives and/or position papers, and other related initiatives to support the evidence base.
Communication and presentation
- Ensures the development and design of exceptional communication materials, including reports, activity plans, and information updates.
- Edits and finalizes reports and communications materials.
- Supports integration with other DRC sectors.
Other
- Supports HoP, interprets where necessary, drafts minutes and translates sector materials.
- Correctly uses DRC Dynamics functionalities in areas of concern.
- Assists GMC in identifying needs and provide capacity building support to DRC and partner staff in donor reporting and accountability.
Required experience and competencies:
- Master degree in linguistics, international relations, project management, business administration, or equivalent professional qualification.
- At least 2 years of relevant working experience, preferably with INGOs in field locations
- Previous experience working on reports, proposals and sub-grants, and with UN, US and EU donors
- Demonstrated ability to perform complex tasks and to prioritize multiple projects;
- Ability to analyze budgets for compliance with donor budget guidelines;
- Excellent English writing skills
- Excellent communication skills – both oral and written.
- Experience of working in the development and humanitarian field is a strong advantage.
- Experience with academic research.
We offer
Contract length: This is a maternity leave position. The contract will be signed for 3 months with possibility for extension.
