Overview of position
This position is located in our client Interim Support Services to G5 Sahel based in Mali (Bamako). The Logistics Assistants will report to the Liaison Officer through the Logistics Officer (Head of Unit).
About our client / G5 Sahel:
The Security Council established our client. By its resolution 2391 (2017) of 8 December 2017, the Security Council requested the Secretary-General to take appropriate steps to conclude as soon as possible a Technical Agreement (TA) between the United Nations, the European Union and G5 Sahel States, with a view to providing specified operational and logistical support through our client to the FC-G5S (“technical agreement”), and that the support provided pursuant to the TA should:
a) apply to G5 Sahel States defense and security forces only when operating on Malian territory in the framework of the joint force,
b) comprise MEDEVAC and CASEVAC, access to life support consumables (fuel, water and rations) and use of UN engineering plant equipment and material, as well as uniformed our client engineering enabling units to assist in the preparation of FC-G5S operational bases in Mali.
However, resolution 2531 (2020) authorized our client to extend the delivery of life consumables to all countries of G5 Sahel and our client is currently adapting its capacity to deliver on that task.
Role objectives
Within delegated authority and under the overall guidance of the Liaison Officer, and supervision of the Logistics Officer (Head of Unit), the Logistics Assistants will be responsible for the following duties:
- Supply/Logistics:
· Technically supports the LLCC with respect to all G5 Sahel logistics support aspects for major services such as food, rations, fuel and water.
· Coordinates with vendors and convoy organizers/focal points all movements, transportation and deliveries to G5 Sahel States designated locations.
· Maintains database used by our client to monitor G5 Sahel specific logistics reports.
· Maintains supporting files and database with respect to G5 Sahel requests to Life Support section (Rations, Water, Fuel, etc.).
· Controls and manages supply related items requisitioning and delivery.
· Records requests actions and monitors activities. These include coordinating with missions on delivery schedules of G5 Sahel requests, follow-up and receipt of G5 Sahel Receiving and Inspection (R&I) Reports, verification of invoices against R&I reports, recording requests status at all stages of processes.
· In charge of managing and maintain records of the G5 Sahel requests thresholds set for each Life Support items (Water, Rations, Fuel, Oil & Lubricants, etc.).
· After receiving the approved G5 Sahel requests, initiates all administrative supports when required for records deliveries, progressive funding and expenditures, liaises with mission sections on receipts and associated actions.
· Manages and maintains records of all G5 Sahel requests on transport issues (land, air, etc.) and liaise with mission sections (Aviation, MOVCON, Transport/Dispatch) on the direct provisioning process and mission cost estimates.
· Participates in monitoring the delivery of supplies, through physical presence, during receiving and inspection of deliveries provided to battalions in designated approved locations, including areas where UNDSS is not represented.
- General:
· Coordinates and provides updates of G5 Sahel requests status on a regular basis.
· In collaboration with Liaison Officer, Admin Assistant, Life Support and Acquisition Management Sections, regularly reviews G5 Sahel cost estimates for input into budget reporting.
· In collaboration with Liaison Officer Admin Assistant and Associate Project Manager, actively monitors budget estimates and reports on European Union (EU) funding allocations to G5 Sahel.
· Maintains, updates and ensures accuracy and completeness of computer database recording supports details, purchase orders, delivery and invoice actions.
· Assists with the preparation of presentations to the Headquarter Committee, Senior Management Team (SMT) on G5 Sahel supports and reporting issues.
· Familiarizes newly deployed G5 Sahel staff officers from the Five (05) members states with respect to work requirements and applicable UN guidelines and office
· Performs any other duties as required.

Further information
Education
High school diploma or equivalent. Technical or vocational certificate in logistics, transport, supply management, business administration or related fields is required.
Work Experience
At least 2 years of progressively responsible experience within the public or in the private sector at the national or international level in one of the following areas is required: logistics operations, supply, warehousing, fuel, rations, transport, movement control, and contracts management. Experience in a similar capacity in a complex, volatile, conflict or post-conflict setting is desirable. Experience in shipment clearing and seaport operations pertaining to logistics, accounting for transactions, data analysis and drafting skills is desirable. Experience and knowledge of Microsoft Office applications – Word, Excel, Outlook, and PowerPoint are desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written in English and French is required. Knowledge of Arabic language (reading and writing) is highly desirable.
