HR Information System (HRIS) Documentation Officer At International Committee of the Red Cross

JOB PURPOSE

The HR Information System Unit is responsible for the management and maintenance of HR information system and HR applications in the ICRC and ensures that acceptable level of user experience on these tools is attained and maintained. The unit provides functional, procedural and technical support to HR service providers and ICRC employees in HQ and in the field.

In MSSC, HRIS team is within the HR Shared Services unit for the delivery of administrative functions and activities supported by different HR applications, specifically related to ICRC HQ and mobiles employees.

MAIN DUTIES AND RESPONSIBILITIES

End-user Documentation

  • Assists in developing and develops end-user material, training materials, user guides and other related content for the end users; identifies gaps and initiates improvements
  • Coordinates with the necessary stakeholders for the translations of the content, supports the HRIS team members
  • Liaises with the HRIS team members, for the final delivery and publishing of the updated or created content

Document Management

  • Regularly maintains the set knowledge base to support end-users for different HR applications
  • Maintains the set central repository and inventory of documentation and training materials
  • Keeps track of the set tracking logs during the build phase and guides the involved stakeholders (such as the business process owners/métier and the HRIS team members) in the process
  • Ensures accessibility of documents to target users
  • Contributes to the development of surveys linked to materials and documentation user experience
  • Provides end-user support related to documentations and materials (not limited to where tos, issues with outdated job aids etc.)
  • Archives outdated HRIS end-user documents and training materials

Project Management Support

  • Transversally interacts with the HRIS application managers, project members and end-user functional team, participates in the testing of the solutions and proactively keeps him/herself up to date of the ongoing system evolutions.
  • Assists and/or creates new training materials and documentations required by the projects and the system evolutions

SELECTION REQUIREMENTS:

  • University Degree in Human Resources / Administration or related courses
  • 3 years professional experience with exposure in various HR management systems
  • 1-year experience in end-user documentation management. Experience in end-user training is a plus
  • Exceptional customer service orientation
  • Excellent computer literacy (Excel, Word)
  • Experience and knowledge in using HR Information systems, in particular SAP SuccessFactors is a plus
  • Attention to detail and has the ability to excel in a challenging and new environment
  • Previous ICRC field experience will be an asset
  • Fluent in English, good conduct of French or Spanish is an asset
