Registration Assistant
Organizational Setting and Work Relationships
The Registration Assistant is a member of the registration/protection team and is supervised by the Associate Protection Officer, Baghdad. The incumbent is responsible for supporting registration related activities, which may also include functions related to interviewing asylum seekers and refugees, filing and data management. S/he responds to queries from asylum seekers and refugees regarding UNHCR’s registration procedures and their rights and entitlements. The Registration Assistant liaises with protection staff and partners to ensure timely identification and referral of persons of concern for protection follow up and may provide interpretation and/or translation services in cases for which s/he has the required language competencies. Ideally a successful candidate would have worked in the humanitarian or development context during the last 5 years, and have experience working directly with refugees/asylum seekers. The position will be based in Baghdad and the Area of Responsibilities include Baghdad, Basra, Thi-qar, Muthanna, Missan, Anbar, Salahdin, Diyala, Kerbala, Najaf, Wasit, Babylon and Qadissiya.

Terms of reference:
- Conduct registration interviews in accordance with local SOPs and registration standards. Interviews to be conducted in person and remotely through phone/WhatsApp;
- Respond to queries from asylum seekers and refugees regarding UNHCR’s registration procedures and their rights and entitlements.
- Maintain accurate and up-to date records and data related to all individual registration cases and requests for registration.
- Schedule activities to be undertaken for refugees and asylum seekers, and provide regular reports to the supervisor on achievements
- Individual file management in UNHCR Offices is carried out as per relevant Standard Operating Procedures (SOPs).
- Ensure file storage space is periodically checked and meets safety confidentiality and safety standards.
- Ensure all file movement is recorded on file tracking system and ensure all newly created files are bar coded.
- Utilize office equipment, and information in a sensitive manner.
- Identify persons with specific needs and ensure timely referral to protection follow-up as required, linked to documentation and identity management
- Act as interpreter and translator when needed.
- Contribute to monthly reports based on work undertaken
- Conduct missions to the field, in the central and southern governorates based on needs and priorities.
- Perform other related duties as required.

Minimum Qualifications
