Logistics Officer (f/m/d) At SOS Children’s Villages International

SOS Children’s Villages International is the umbrella organization for the global federation of SOS Children’s Villages. As a non-governmental social development organization, we support children without parental care and families in difficult living conditions through services in care, education, health, and emergency relief, and we advocate for the rights of children and young people, in alliance with a great diversity of partners. We work in 135 countries and territories, reaching over one million children, young people, families, and caregivers each year.

Following the war in Ukraine and the immense humanitarian needs resulting from it, we are looking for an experienced and committed Logistics Officer (f/m/d).

Location: Poland with travels to Ukraine

Duration: 6-12 months

Mission

The Logistics Officer is responsible to support the project staff and implementing member associations with logistic services in order to ensure smooth and timely crisis intervention. S/he serves as a security focal point in the absence of a security manager.

Tasks and Responsibilities:

Transport

  • Identify transportation options to meet the needs of the operation and organize transport according to the relief plan of action and other needs
  • Ensure safe transportation means for SOS CV staff and implement a fleet management system for all vehicles
  • Ensure quality maintenance/service of cars and maintain logbooks
  • Check and follow-up on regulations of cross-border movements

Procurement and supply chain management

  • Identify Logistic partnerships with NGOs and private businesses to ensure logistic supplies for SOS Operations
  • Ensure tendering for products and services according to SOS CV regulations and procedures
  • Ensure that local procurement is undertaken according to needs, as specified by the Project Manager and according to SOS CV procurement and financial procedures
  • Ensure that all purchased items meet minimum quality standards

Storage and Warehousing

  • Ensure reception of goods and services according to SOS CV procedures and arrange their delivery in a timely and cost-effective manner
  • Ensure the correct storage and rotation of stocks, as well as proper structural maintenance of warehouse(s) in view of maintaining all stocks in good condition
  • Organize local labor to effect the timely and efficient reception at warehouse and dispatch of goods to distribution points
  • Ensure that distributions are safe, dignified, and carried out according to the organizations and international standards
  • Manage assets & inventories, disposals, repairs & maintenance

Safety & Security

  • Serves as Security Focal Point in the absence of a security manager role.

Finances, reporting, and HR

  • Plan and coordinate the budget for logistics activities in order to respond to the needs of the target population and – in collaboration with the ER Finance Officer – ensure close follow-up of expenses.
  • Ensure that documentation meets SOS CV filing standards and auditing requirements.
  • Prepare logistics reports required by the different stakeholders
  • Manage, train, and supervise the logistics team(s) to correctly perform all logistics activities (including a briefing on communication tools and security measures) and to ensure effective management of allocated resources

Requirements:

  • University graduate or secondary education in at least one of the required working areas (procurement, warehousing, transport, supply chain management)
  • Several years of work experience in procurement, warehousing, or transportation as well as in security management
  • Several years of work experience in the humanitarian aid and/or development sector
  • Experience in safety and security management in hazardous/complex environments
  • Strong training, team building, and communication skills
  • Excellent organizational and problem-solving skills
  • Ability to adapt to changing circumstances, work under pressure and cope with stress
  • Experience in establishing strong and effective working relationships with colleagues from different backgrounds and cultures
  • Proficiency in English; Ukrainian or Russian language skills are required; Polish is an advantage
  • Advanced computer skills (Windows, Word, Excel, PowerPoint, etc.)
  • Willingness to travel and potentially work in a volatile security environment
  • Commitment to humanitarian principles & standards and to the values of SOS SV
