Job Description
As an Operational and Logistics Support Coordinator, you will be a key operational pillar, ensuring the fluidity, accuracy and efficiency of logistics administrative and financial processes.
This position combines three key functions:
- Purchasing Coordination: Central liaison with the Purchasing team for forecasting departmental needs, defining technical specifications and monitoring contracts.
- Financial & Administrative Support: Support to management for processing payments, monitoring departmental expenses and compiling financial documentation.
- Systems & Warranty Management: Administration of centralized systems for tracking internal requests (inventory, storage, transport, data) and complete management of product warranties (solar lamps, telephones), from traceability to resolution.
This role is for a highly organized and analytical professional with excellent communication skills who is eager to make a significant impact on our field operations.
Responsibilities
Warranty Service Management
- Complete Claims Management : Manage the entire warranty claim process, from identifying eligible cases and submitting them to suppliers, to tracking their complete resolution.
- Traceability of products under warranty:Â Manage the traceability of all serialized products (e.g., telephones, solar lamps) by ensuring the accurate entry of serial numbers and performing scans before and after each distribution.
- Stakeholder Alignment:Â Proactively coordinate with Non-Agricultural Procurement teams, Warehouse teams, and suppliers to align on distribution schedules, replacement logistics, and financial reconciliation (determining the need for credit notes or additional units).
- Record Keeping:Â Maintain meticulous, seasonally organized digital and physical records for all warranty-related documentation, including claim forms, vendor communications, and replacement confirmations.
Logistics Department Purchasing Coordination
- Act as a single point of contact between the Logistics department and the Purchasing team.
- Lead the forecasting and definition of technical specifications for all department needs (warehouse and distribution equipment, storage space, staff equipment, etc.).
- Assist the Purchasing team in tendering processes and monitor the life cycle of logistics-specific supplier contracts.
- Perform and document quality control (QC) of received items to ensure they meet specifications.
Asset Management
- Coordinate Asset Management Operations: Oversee the complete management of all Logistics department assets , including infrastructure (warehouses and office spaces), equipment/tools and machinery .
- Infrastructure Condition Monitoring:Â In collaboration with Regional Coordinators, ensure that all warehouses and their infrastructure are in good working order for our operations by promptly reporting any damage or deterioration.
- Comprehensive Maintenance Planning and Execution: Work with stakeholders to develop, implement and manage a robust preventive maintenance plan for all warehouse infrastructure , as well as all equipment and materials (including but not limited to sewing machines used for fertilizer repackaging, fire extinguishers and other machinery). Ensure timely maintenance, proper documentation and regular reporting of all maintenance activities.
- Asset Inventory and Reconciliation:Â Perform monthly counts and reconciliations of all One Acre Fund assets used by the Logistics department in the warehouses and office, providing comprehensive reports and updating data in the system.
- Best Practice Development:Â Establish and disseminate best practices for the warehouse team regarding the use of equipment, materials and assets.
Administrative and Financial Support
- Participate in the monitoring and processing of departmental payments, including the preparation of supplier invoices, staff expense reports and casual worker payments for validation.
- Contribute to the monitoring of departmental expenditures by compiling the data necessary for the preparation of periodic budget reports.
- Ensure the preparation and compilation of financial documentation, ensuring its accuracy and completeness prior to submission.

Requirements:
- Bachelor’s degree in a relevant field (Logistics, Supply Chain, Finance, Business Administration).
- At least 2 years of experience in a demanding operational or administrative role.
- Experience in at least two of the four main areas of responsibility is required: warranty process operations, purchasing coordination, financial administration (invoice/expense processing) or systems/query monitoring.
- Exceptional organizational skills with a proven ability to manage and prioritize multiple tasks.
- Analytical skills and advanced proficiency in MS Excel or Google Sheets.
- Good communication skills to liaise between different teams.
- A keen eye for detail, particularly with regard to financial data and technical specifications.
- English proficiency is an asset.
