Gift and Donor Operations Officer At International Rescue Committee

The International Rescue Committee (RESCUE) was founded in 1933 on the initiative of Albert Einstein

and is today a leading international humanitarian organization with operations in over 40

countries. RESCUE Sweden was established in 2019 and has since had a clear mission: to

increase knowledge in Sweden about humanitarian crises and raise funds for our vital

work. Our office is located in Hammarbybacken, Stockholm, where we currently have about 20

employees.

We are now looking for a colleague who works with gift management and is part of our

international gift management team and, when necessary, acts as support to our

donor service. Maybe that’s you?

The role

Approximately 75% of your time is focused on gift management. You are responsible for the entire process of

gift registration in our CRM system (Salesforce), creates and maintains accurate

donor register; works with file import/export and performs quality control, ensures

data integrity and maintains the development of the department’s routines and processes.

You will work closely with our global team on workflow and technical improvements

solutions.

Approximately 25% of your time you will act as backup to our donor service, where you will help

to answer incoming questions from donors via email and social media. You collaborate

with the donor service manager to ensure that donors receive a friendly, accurate and

professional treatment.

Although the role is largely operational, we would like you to be curious about contributing to

development – for example by suggesting improvements to our systems and working methods

or identify opportunities for increased efficiency.

Examples of tasks within gift registration:

• Responsible for registration and administration of gifts in our CRM system

(Salesforce).

• Ensure that data imports/transfers are done correctly and on time.

• Conduct quality checks and ensure data integrity in the system.

• Produce reports, ensure reconciliations and produce data for

financial reporting.

• Streamline processes and workflows in Sweden, and together with global

colleagues develop our common parts.

Examples of tasks within donor service:

• Support work with email inbox for donor questions as needed.

• Help moderate comments on social media.

• Contribute to mailings and other communications related to gifts.

We are looking for you as :

• Have experience with CRM systems (preferably Salesforce) and managing customer data.

• Strong computer skills with particular proficiency in MS Word and Excel.

• Have good communication skills, both verbally and in writing, in Swedish and

English.

• Is structured, meticulous and has an eye for detail.

• Has good ability to collaborate with colleagues in an international team.

• Can identify areas for improvement and solve problems creatively.

• Have the ability to work independently and plan your work effectively.

Merit:

• Previous experience in gift management, fundraising or working in the nonprofit sector.

• Experience in analysis and GDPR management.

IRC Sweden is hiring a person for our Global Donation Operations (GDO) team and
Donor Service Team, with an estimated 75/25 split between gift processing and donor
services. While the role is focused on day-to-day operations, we welcome candidates
who have a strategic outlook and are eager to contribute to process improvements and
long-term development within donation operations.

The Purpose of the Role

Global Donation Operations – Primary Focus (75%)
In this role, the officer will be an integral part of GDO efforts, ensuring accurate and
timely handling of donation data. Key responsibilities include overseeing the end-to-end
gift processing workflow, maintaining clean and up-to-date donor records in the CRM
system, managing data imports and exports and ensuring data integrity through regular
quality control checks. The officer will also work with GDO team to contribute to the
development and maintenance of departmental protocols and seek opportunities to
improve efficiency and automation across
systems and processes.

Donor Service – Secondary Focus (25%)
The officer will serve as a backup for the Donor Service officer, stepping in to manage
donors and public inquiries via email and social media when needed. In this capacity,
the officer is expected to uphold a first-class supporter experience across all
communication channels and donor segments. Additional responsibilities may include
assisting the Mass Markets team in the execution of marketing activities and
campaigns.

Key Responsibilities
Gift Processing
• Oversee administrative handling and registration of gifts, ensuring accurate and
timely entry into the CRM system
• Continuously improving registration processes in collaboration with the Global
Data Operations (GDO) team
• Monitor and maintain automated and manual data uploads, ensuring high data
integrity and adherence to internal protocols
• Import and reconcile monthly sustainer (recurring donor) payments
• Manage financial coding and income reconciliation, providing accurate weekly
and monthly reports to Finance
• Maintain a clean, accurate CRM database by resolving duplicate donor records
and overseeing GDPR anonymization processes
• Handle updates to donor information, including changes to monthly gifts and
cancellations
• Conduct daily quality control and data validation to ensure accuracy in financial
and donor reporting
• Collaborate with international teams to ensure consistency and correctness in
market-level data allocations
• Develop and maintain protocols and documentation to support seamless data
transfer, storage, and retrieval
• Identify opportunities to streamline and automate workflows for greater
efficiency and scalability

Donor Services
Backup and support to donor service department.
• Supports the donor service email inbox as needed.
• Support with moderating comments on social media channels.
• Possible other donor service-related tasks e.g. send out gift cards.

Cross-Team Collaboration & Development
• Support onboarding and knowledge sharing for new systems or suppliers from a
gift processing perspective.

PERSON SPECIFICATION
Skills & Qualifications
• CRM experience, ideally Salesforce.
• Strong computer skills with Microsoft Office (Excel and Word essential).
• Excellent written and spoken communication in both Swedish and English.
• High attention to detail and accuracy.
• Strong interpersonal abilities with a collaborative spirit and the confidence to
liaise effectively with colleagues, stakeholders, and external partners.
• Demonstrated ability to plan strategically, adapt to changing priorities, identify
opportunities for improvement, and approach challenges with creative
solutions.
• Outstanding organizational skills with the ability to manage multiple priorities in
a fast-paced, detail-oriented environment.
• Ability to manage tasks effectively and independently.

Experience
• Has experience with CRM systems and customer data management or
equivalent

• Previous involvement with data governance is a plus

• Familiarity with the humanitarian or nonprofit sector is an advantage
(preferred)
