Location: Los Angeles area, with preference for proximity to Altadena/Pasadena area.

Compensation: $65,000 – $72,000/yr

Founded in 2017, Global Emergency Relief, Recovery & Reconstruction (GER3) is a non-profit organization that supports crisis-affected communities to build back better. GER3 is committed to using sustainable, culturally appropriate and community-led interventions.

The January 2025 Los Angeles wildfires claimed the lives of at least 17 people and charred over 45,000 acres of land. Over 10,000 structures are reported to have been destroyed by the Eaton fire. Over 130,000 individuals have evacuated the area and face an uncertain return to their communities. More than 1.2 million people were directly impacted by the wildfires, with thousands losing their homes, farms, and businesses. Approximately 85,000 individuals sought refuge in temporary shelters, while many more were forced to relocate with relatives or friends. Many community centers, which served as gathering places and resource hubs, were either destroyed or rendered inoperable, leaving residents without critical support systems.

California’s wildfires have increasingly shifted from being rural to urban events that devastate entire residential and commercial neighborhoods, highlighting the urgent need to implement robust community emergency preparedness planning, environmental regeneration, and fire mitigation techniques. Due to the vast devastation left in the wake of the Eaton fires, GER3 is committed to addressing these challenges by implementing technical, evidence-based strategies to adapt and strengthen community resilience to fire events, incorporating fire resistant building techniques, public education, and nature-based solutions.

Position Overview

The Smoke Remediation & Repairs Coordinator serves as a key frontline team member for GER3’s Eaton Fire Recovery Program, supporting homeowners through the smoke remediation and fire restoration process. This position leads the homeowner intake process, conducts vulnerability surveys, coordinates scheduling for environmental testing and restoration activities, and manages key project documentation. The Smoke Remediation & Repairs Coordinator plays a central role in keeping restoration projects organized, on track, and responsive to homeowner needs, working closely with internal teams, contractors, and program partners.

The ideal candidate is detail-oriented, proactive, and able to balance administrative precision with compassionate community engagement. This role is well-suited for someone with a background in program coordination, case management, and/or post-disaster recovery operations.

Key Responsibilities

Beneficiary Intake & Case Management

  • Lead homeowner intake screenings, including demographic and vulnerability surveys.
  • Track homeowner intake progression through Monday.com
  • Execute homeowner, tester, industrial hygienist, and contractor contracts in alignment with program requirements.
  • Maintain organized and up-to-date homeowner case files in SharePoint.
  • Serve as a primary point of contact for residents, responding to questions and concerns with professionalism and empathy.
  • Deliver required one-pagers and post-remediation documents to homeowners at key milestones.

Project Manager Support

  • Support Project Manager as needed for scheduling for testers, contractors, and field teams to ensure timely completion of smoke remediation and repairs work.
  • Support Project Manager as needed with logistics for pack-in/pack-out services, homeowner needs, appliance delivery, and finish selections.
  • Support and track assessments, including environmental testing and on-site inspections.
  • Track project progression in Monday.com, monitor timelines, and flag risks or delays to the Smoke Remediation & Repairs Project Manager.

Data, Metrics & Reporting

  • Track project and field metrics tied to program KPIs, ensuring accurate and timely data entry.
  • Gather and compile progress data, site visit records, and homeowner communications for internal and donor reports.
  • Support ongoing program monitoring and evaluation by collecting resident feedback and progress updates.

Administrative Support

  • Maintain organized project records, including contracts, testing reports, photos, and permits.
  • Help update and maintain structured filing systems in SharePoint for program documentation.
  • Assist in preparing reports and updates for donors, partners, and internal teams.

Community & Stakeholder Coordination

  • Maintain positive working relationships with homeowners, neighborhood associations, partner organizations, and contractors.
  • Assist with coordination between homeowners, field teams, and construction crews to ensure smooth project execution.

Program Flexibility & Team Support

  • Support related program activities such as debris management, home hardening, and fire-resistant landscaping when needed.
  • Adapt to evolving program priorities, operational needs, and project changes in collaboration with the Smoke Remediation & Repairs Project Manager.
  • Uphold GER3’s safety standards, values, and commitment to high-quality smoke remediation and repair services.

Qualifications & Requirements

Required:

  • 2+ years of experience in program coordination, case management, community outreach, or related field.
  • Strong interpersonal and communication skills, with the ability to engage effectively with diverse populations in post-disaster settings.
  • Proven organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency with digital tools such as Microsoft Office, Google Suite, and cloud-based platforms (e.g., SharePoint, Monday.com).
  • Comfort with data entry, reporting, and maintaining accurate records.
  • Willingness to travel locally for site visits and homeowner meetings.
  • Valid driver’s license and reliable transportation.

Preferred:

  • Familiarity with smoke remediation, fire restoration, or disaster recovery programs.
  • Experience with contract execution, scheduling, and coordinating field activities.
  • Background in database management or project tracking software.
  • Spanish fluency
  • Fire survivor or prior experience supporting individuals and communities after disasters.
