HR Coordinator At Danish Refugee Council

Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified HR Coordinator for Poland, Moldova and Romania to be based in Warsaw, Poland.

The Danish Refugee Council (DRC) is a leading protection agency with a mandate to promote and protect durable solutions to conflict and displacement affected populations on the basis of humanitarian principles and human rights. DRC is implementing a multi-sector response to support Ukraine refugees, IDPs and host populations both within Ukraine and in the neighbouring countries of Poland, Romania and Moldova and wider Europe. Since late February 2022, nearly 4 million Ukrainians and third-country nationals have crossed the border to Poland. As part of its neighboring country response, DRC is establishing an operational presence in Poland to support displaced populations through partnership with civil society organizations and national NGOs, duty bearers and other actors.

About the job

As HR Coordinator you will provide overall advice, coordination, and technical support in the area of strategic Human Resources and will act as the HR Business Partner to all employees in Poland, Moldova and Romania. You will be responsible for people planning and development, work on employee well-being initiatives and roll out HR policies and processes. Together with the HR Officer you will develop Poland’s HR strategy and translate it into action plans and day-to-day tasks. You will lead DRC’s HR efforts for all employees in Poland, Moldova and Romania. Your main duties and responsibilities will be:

Human Resources leadership and business partnering

  • Provide technical support and advice to the Human Resources team
  • Advise and assist managers in Human Resources related issues and concerns

Recruitment, development and people planning

  • Drive and support recruitment and selection activities ensuring compliance with recruitment process
  • Work with senior management team and senior staff on new staff retention strategies and initiatives
  • Ensure proper onboarding process
  • Ensure oversight and consistency in position titles and grades
  • Support staff development activities including promoting the DRC Learning Catalogue

Performance, well-being and compensations & benefits

  • Proactively respond to and manage performance counselling, employee grievances and disciplinary issues as required, with a focus on building manager competency and ensuring that documentation is kept
  • Support the performance management process
  • Ensure disciplinary procedures are administered in an equitable and fair manner and meets all legal and labor regulations and requirements
  • Support people well-being initiatives
  • Define and review salary structure in partnership with the Senior Management team and coordinate annual compensation review process and compensation adjustments

Human Resources policies and support

  • Maintain and update Staff Human Resources Handbooks as necessary
  • Proactively pursue continuous process improvement in Human Resources related practices in order to enhance the quality and efficiency of output/delivery.
  • Work closely with HQ to share information and provide support as required

About you

If you are keen to work with a people-centered approach and are no stranger to setting up HR processes this might be the right fit for you. We are looking for a dynamic and ambitious person who can provide HR advisory and guidance and support in compliance with DRC’s and local guidelines and procedures.

To be successful in this role we expect you to have at least 5 years’ experience in Human Resources managing main processes (Staffing, People Planning, Compensation & Benefits, Labor Relations, Development). Moreover, we also expect the following:

  • Master’s degree in Human Resource Management, Business, or Social Science Degree specializing in Human Resources
  • Extensive knowledge on Polish labor law
  • Previous experience working with the roll-out of HR processes incl. the implementation of HR ERP and recruitment system desired
  • Excellent skills in handling and advising on complex people management issues
  • Excellent skills in the complete MS Office package (MS Word, Excel and PowerPoint)
  • Fluent in both English and Polish

Designation of Duty Station: Warsaw, with travel to other locations
