Job Purpose
Ensure the continuity and efficiency of Violet’s technical infrastructure through: asset management (devices/licenses), digital asset management (accounts, domains, subscriptions for Microsoft 365/Google Workspace and collaboration tools), maintenance of networks and devices, server administration and backups, and provision of fast, secure technical support to staff and initiatives.
Key Responsibilities
A) Asset & Digital Asset Management – 30%
A. Update the asset register (devices, peripherals, licenses) and manage lifecycle: issuance/return/disposal.
B. Manage domains, hosting, corporate email, subscriptions, and servers, with renewal reminders.
C. Prepare monthly reports on inventory accuracy, needs, and forecasting.
B) Networks, Servers & Security – 30%
D. Operate and maintain Linux/Windows servers and/or identity services (SSO/MFA), backup and restore.
E. Manage office networks (routers/switches/access points), monitor performance, and troubleshoot incidents.
F. Apply security policies: patching, disk encryption, anti-malware, and firewalls.
C) Helpdesk & User Support – 25%
G. Provision devices for new users (onboarding) and reclaim them upon departure (offboarding).
H. Deliver short trainings on digital safety, anti-phishing, and securing accounts with multi-factor authentication.
D) Procurement, Vendors & Documentation – 15%
I. Document infrastructure, network diagrams, and usage policies.
J. Support tenders/procurement: prepare technical specifications, evaluate bids, and follow up on contracts and invoices.
Note: the above-mentioned key responsibilities / accountabilities are illustrative ones. Another future responsibilities/accountability may be assigned to the job depending on the department organizational chart.
Qualification (Education/Work Experience)
A. Essential:
L. Diploma/Bachelor’s in Information Technology/Telecommunications or a related field.
M. Minimum 2 years of experience in systems and network support within an organization/NGO.
N. Hands-on experience with Microsoft 365/Google Workspace, Windows/Mac, and Linux fundamentals.
O. Knowledge of basic information security concepts, access policies, and backup procedures.
B. Desirable:
a. University degree in IT, or related fields.
b. one years of experience with Humanitarian NGOs.
