Duties and Responsibilities

UNOCHA Regional Office for Asia and the Pacific (UNOCHA ROAP), Administrative Support Unit, with terms of reference to provide a wide range of administrative support to UNOCHA ROAP as well as other OCHA country offices including Humanitarian Advisory Teams in the region, is looking for the incumbent to join the Unit to assist on protocol, logistical arrangement as well as other related administrative tasks.

Under the overall guidance of Senior Regional Administrative and Finance Officer and direct supervision of Senior Administrative Assistant, the incumbent will provide variety of administrative support, specific areas to be focused as below to ensure smooth operations in all administrative support aspects, including but not limited to the office relocation for Seismic Mitigation Project (SMP) project.

– Performs a wide range of office support and administrative functions. – Update list of inventory of OCHA and ESCAP Office furniture including non-expendable equipment i.e. to be kept or to be disposed. – Takes lead on packing all office stuff, supplies, publications, maps and etc to be ready for moving to new office after SMP. – Provide support on office protocol activities i.e. Thai visa/permit to stay arrangement and travel visa for official missions – Makes regular deliveries of parcels, documents, etc., between UNOCHA ROAP and other offices and organizations. – Update inventory of office supplies, deployment kit and PPE Kit supplies and assist to purchases office supplies. – Provides settlement/domiciliation support to new staff e.g. visa support, residential settlement. – Provides secretarial, administrative and logistics support to meetings, conferences, etc. – Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. – Drive official vehicle as necessary. – Performs other related duties as assigned.

Qualifications/special skills

Academic Qualifications: High school diploma or equivalent Experience: A minimum of three years of progressively responsible experience in general office support, preferably in administrative services, or related areas within UN system is required. Experience in facilitating protocol matters, driving UN official vehicle, providing general services support to emergency working environment preferable. Language: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English and Thai is required. Knowledge of another official United Nations language is an advantage.
