WORK CONTEXT
CESVI is a secular, independent Italian humanitarian organization founded in 1985 in Bergamo. CESVI operates across four continents with emergency, reconstruction, and development projects for local communities.
CESVI’s guiding principles include financial efficiency, which aims to keep operating costs within acceptable levels to ensure the greatest possible benefit to beneficiaries, and transparency, achieved through timely certification of the financial results of its economic management.
JOB DESCRIPTION
The resource will ideally be placed between February and March 2026 .
Main workplace Bergamo
The Area Administrative Coordinator coordinates and oversees the administrative/financial management and reporting of projects abroad. They support overseas teams in preparing the cost-sharing plan for their assigned countries. They also oversee the accounting closure of projects subject to administrative and financial monitoring for the budgeting and forecasting phases.
The Area Administrative Coordinator is part of the Programmes Support Unit, under the supervision of the unit manager and in close coordination with resources operating at HQ and abroad.
The tasks assigned to the Area Administrative Coordinator include:
- Accurate and timely preparation of project/program financial reporting according to the donor’s templates and requirements, preparation of final financial reports, and auditing of assigned project accounts.
- Control of the administrative management of the assigned projects/programs.
- Monitoring and enforcing the organization’s and donors’ administrative procedures.
- Balancing and checking accounting data, account statements, accounting situations and analyses for the preparation of periodic and balance sheet situations (internal controlling process)
- Preparation and support for external audits.
- Capacity-building and training activities for administrative/accounting staff working on behalf of CESVI in assigned countries.
- Upon indication of his/her contact, he/she carries out missions to foreign offices for:
- monitoring of administrative activities
- on-site audit preparation
- opening or closing of administrative offices
- coverage of local administrators’ absences
ESSENTIAL REQUIREMENTS
- Degree in Economics
- At least 3 years’ experience in project reporting abroad
- Knowledge of procedures and reporting of major national and international donors
- Previous experience using accounting systems
- Ability to prepare project budgets as well as read and update BFU (Budget Follow Up)
- Financial reporting skills
- Precision and punctuality
- Confidentiality
- Excellent knowledge of Office computer systems (especially Excel and Outlook)
- Fluent knowledge of English (written and spoken)
DESIRABLE REQUIREMENTS
- Knowledge of PCM (Project Cycle Management) is appreciated
- Previous experience in audit management is appreciated
- Knowledge of Sharepoint, NAV (Microsoft Business Central) and NP Square programs
- Knowledge of a second foreign language (preferably Spanish)

Flexible entry/exit hours and a Smart Working program (2 days/week) are expected .
