Administrative Associate At Science Based Targets

The SBTi is looking for an Administrative Associate to provide support to companies during their target setting journey by issuing T&Cs and invoices, monitoring their status, and updating relevant databases to track company payments and signatures. You’ll also manage email inboxes communicating directly with companies worldwide, offering prompt and professional responses. This position reports to our Administrative Officer and sits within the Customer Success/Pipeline team.

The ideal candidate is a proactive, self-motivated learner with a high level of attention to detail. You enjoy working in an international team and have interests or experience working with climate change and sustainability. You are comfortable working remotely with digital tools, independently to meet deadlines, and supporting colleagues with a variety of tasks. This candidate should be efficient and thorough on administrative tasks, plus take a proactive approach towards improvement and automation.

Who you are

  • Must be currently eligible to work in Mexico without company sponsorship
  • Desire to help internal and external customers
  • Strong organizational and prioritization skills
  • High level of attention to detail
  • Proficiency level in English – daily meetings and all written communication in this language
  • Ability to use remote technology tools such as MS Office Suite, Google Drive, Outlook, Slack, Teams, Asana, or similar programs
  • Comfortable working with spreadsheets and basic Excel/Google Sheets formulas
  • Experience with ERP systems desirable
  • Experience in international, virtual, and NGO workplaces desirable

Your day-to-day

  • Issue T&Cs to companies according to the services provided and specificities of the company
  • Track the signing of T&Cs on both ends
  • Follow up with companies to sign T&Cs
  • Coordinate with CDP to issue invoices for companies to pay for the target validation service
  • Manage email communication with companies for administrative requests
  • Coordinate with partners to setup suppliers in order to receive payments from companies
  • Issue and coordinate the invoicing for SME´s
  • Update the SBTi database to show compliance of payment and signature of T&Cs
  • Track payments of companies
  • Chase debtors
  • Willingness and flexibility to contribute outside of specifically stated responsibilities as necessary to meet demands of the growing organization

This is a full-time role based in Mexico. The salary for this role will be dependent on location and level of experience. This role is a fixed-term contract for 12 months with the possibility of extension. Applicants must be eligible to work in the location applied for, the SBTi cannot sponsor working visas.
