Supply Chain Assistant – Damascus At Women Now for Development

Position: Logistics and Procurement Assistant

Contract type: Full-time

Work location: Damascus city and its countryside

Contract duration: 6 months

Job purpose

Ensuring that the project’s supplies and needs are secured with the required quality and in a timely manner, ensuring that all the organization’s policies and procedures are applied optimally, and creating and continuously updating a database of reliable suppliers.

Main tasks

Assisting the purchasing manager in closing the purchasing cycle, including:

  • Verify receipt of materials based on purchase requests from program teams
  • Collecting price quotes and representing the purchasing department during bid opening and evaluation sessions.
  • Identifying potential suppliers
  • Working with the finance team to ensure timely payment to suppliers.
  • Ensuring that all procurement processes are completed in accordance with the organization’s policies and donor guidelines.
  • Participating in checking the quality of materials received according to offers and prices and ensuring their timely delivery.
  • Supervising suppliers’ compliance with their contracts, monitoring the quality of their performance, and participating in the coordination process for receiving goods/services.
  • Ensuring that suppliers comply with the organization’s code of conduct and policies, and making sure that these are shared and explained to them, and reporting any violation or neglect of the policies and code of conduct.
  • Ensuring that all of the organization’s suppliers comply with the organization’s regulations.
  • Providing timely logistical reports to the line manager, including inventory of property, fleet, generators, assets, etc. as needed.
  • Archiving and updating all procurement and logistics documentation and providing it complete and ready upon request
  • Tracking and recording the movement of assets within the organization’s asset tracking system.
  • Any other tasks assigned by his/her direct manager and technical staff within his/her field of work and specialization.
  • Communicating with relevant government agencies and following up on procedures to obtain the required approvals and permits to ensure that work proceeds properly.

Qualifications required for the job

  • A university degree in a relevant field,
  • Work experience in the field of procurement and logistics of no less than two years.
  • Previous experience working on projects related to supporting and protecting women and girls.
  • It is preferable to have a private means of transport (bicycle – motorcycle – car).

Personal skills

  • Organization and the ability to perform multiple tasks flexibly.
  • Good skills in using relevant computer programs, especially Excel.
  • Beginner English.
  • Adherence to the principles and procedures of humanitarian work.
  • Commitment to the organization’s vision, mission, and goals.
  • Adherence to the code of conduct.
