JOB OBJECTIVES
Within the Human Resources Department, and more specifically within the International Travel Office (BDDi) team, you will be responsible for the organization and administrative management of the departures and returns of International Staff on assignment in the countries of intervention of Humanity and Inclusion.
Reporting to the BDDi Manager, you will join a team of 5 people in charge of international travel and you will have 5 main missions:
- Manages the administrative aspects of international staff travel
- Assists International Staff in preparing their administrative file
- Provides support and guidance to international staff (and their dependents) with visa applications: submitting visa application information, liaising with embassies and consulates, and researching and advising on the most suitable visa solutions.
- Drafts mission orders for International Staff and issues HI badges
- Provides logistical support for the travel of international staff.
- Coordinates arrival schedules in direct relation to programs, taking into account operational and logistical factors (flight availability, visa waiting times)
- Book travel tickets for departures / returns / annual leave of International Staff independently via the online platform, or via the travel agency.
- Search and book hotel accommodation independently via the online platform or through the travel agency.
- Contributes to the implementation of the International Staff integration policy
- Organize briefing/debriefing schedules for International Staff with the relevant contacts at headquarters
- Distribute the list of mandatory and recommended online training courses for International Staff
- Implements the medical monitoring process for International Staff: information emails, assistance with appointment scheduling (travel medicine and occupational medicine), verification of fitness certificates
- Implements the security process by requiring each International Staff member to complete a Proof of Life form before departing on mission
- Manages the financial aspects of international staff travel
- Has the budgetary delegation for programs to validate expenses related to the departures/returns of International Staff: travel tickets, hotels, visas, administrative fees.
- Validates expense reports related to mission departures/returns for International Staff on HI People
- Validates invoices with the accounting department
- Emergency response
- Is able to organize emergency travel (within 48 hours) for the Emergency Department as well as for other Geographic Departments (openings, evacuations, etc.)
- Is able to assist HI travelers in case of unforeseen events during their business trips (strikes, flight cancellations, delays, etc.)
Profile
- Experience in organizing travel and/or events. Knowledge of humanitarian work is a plus, but a strong interest in international solidarity is highly desirable.
- Languages: Professional proficiency in French and English
