Position Summary:
Creative is seeking Human Resources & Administration Officer Under the close supervision and guidance of the Finance and Operations Coordinator. the Human Resources and Administration officer supports Operations and Finance Coordinator to fulfill Human Resources management duties and Administration responsibilities for the project.
Reporting & Supervision:
The Human Resources and Administration officer will report to the Finance and Operations Coordinator.
Responsibilities
Summary of primary functions/accountabilities:
- Facilitating the processing of contracts for consultants, vendors and external partners that support the office in delivering results. This includes preparing and filing documents, completing necessary forms and templates, and making necessary logistical arrangements. Keeps vendor lists, partners, and consultant rosters up to date.
- Support the implementation team in daily office management, including logistical and administrative support, and drafting communication to local partners and subcontractors;
- Assist with all aspects of general office coordination; coordinating appointments, preparing/disseminating materials, translating and formatting letters and presentations;
- Ensure all employee files are complete and stored properly;
- Implements HR procedures, supporting recruitment processes and attendance tracking; review timesheets and leave requests, assisting onboarding, orientation, and off-boarding for local staff.
- Responsible for Uploading documents to Creatives UltiPro in line with the new hire checklist.
- Liaises with the relevant human resources offices as required.
- Providing travel assistance to staff for travels and entitlements based on the organization’s rules and policies. Liaising with relevant travel focal points in Gateway/SCI to ensure that the organization obtains the best service for all
- Maintaining and updating a system that monitors the absence of staff.)
- Working directly with Taxes Authority & Submitting the Monthly Taxes Check.
- Archiving all the projects’ financial documents –electronically in the Creative SharePoint and in hardcopy, where necessary.
- Maintaining Office Contact List, Phone Tree and Employee Database on a regular basis;
- Coordinate domestic travel and logistics arrangements related to program activities. Ensure all travel requests are responded timely, efficiently and arrangements are in compliance with project security and government regulations and procedures;
- Assists with trip expense reports, photocopying, ordering books and materials as needed
- Perform other duties as assigned.
Qualifications
Required Skills & Qualifications:
- High School diploma required, BA degree highly desired.
- Must have 4 years of general work experience,
- And 2+ years of specific experience related to HR & Administration required. If supervising staff, plus 1+ years of supervisory experience.
- Advanced knowledge of Spoken and Written English highly desired, medium level required.
- Demonstrated reliability regarding attendance and work performance
- Good communication and interpersonal skills to deal with a diverse staff.
- Courteous and professional demeanor with experience providing service.
- Experience in organizing and filing information
- Attention to detail and ability to follow up on tasks to completion
- Good knowledge of Word, Excel and Outlook; and good typing skills.
- Flexibility and ability to work in a busy environment.
