DRC is currently seeking a highly qualified Supply Chain Assistant based in Maracaibo, Zulia, Venezuela.
About the job:
DRC is managing its operations in Venezuela, under the direction of the country office in Caracas and three field offices located in the states of Sucre, Apure, and Zulia. DRC Venezuela is implementing activities such as protection monitoring, legal assistance, individual protection assistance for people with disabilities, information sessions for proof of identity (PoC), prevention of human trafficking, rehabilitation of health infrastructure, and food security.
Job description/purpose:
Support in the activities related to the logistics of the programs in the state of Zulia, ensuring compliance with the procedures and guidelines of DRC in the Maracaibo office.
Responsibilities:
Shopping:
- Ensure that all purchase requests are tracked from the planning and request point to the final receipt.
- Proper handling of documentation for processes involved in the logistics area
- Prepare the relevant documents for the acquisition of goods and services.
- Participate in the evaluation of bids and proposals and ensure that the bid evaluation report, the technical evaluation, the minutes of the negotiations and the contracts negotiated in the selection of consultants contain all the facts and information necessary to justify the recommendations made in the report.
- Participate in the joint verification of the goods and equipment acquired and verify the conformity of the items with the technical specifications and quantities.
- Verify that all old and new assets are correctly registered and labeled.
- Perform physical asset verification.
- Track inventory
- Supervise deliveries and shipments from DRC warehouses and carry out the necessary documentation.
- Support for small purchases.
- Follow-up on returns or claims with suppliers.
- Monitoring periodic payments to suppliers and reviewing supplier invoices in accordance with what was negotiated.
- Maintain good communication with warehouse staff at other DRC locations and partner organizations.
Logistics:
- Carry out the requests and processes required for the Catatumbo office in accordance with the annual purchasing plan made by the organization.
- Support the request and monitoring of transfers and accommodations required for the development of planned activities.
Billing and Travel:
- Manage the purchase and booking of staff hotels according to the existing procedure
- Execute the purchase and management of tickets for staff travel
- To serve as the focal point for consolidating the travel and accommodation process in order to ensure that the greatest efficiencies are achieved for the organization.
Administration:
- Participate and assist in the implementation of the ERP (DRC Dynamics).
- Collaboration with the finance unit for the correct registration of the supply chain.
- Coordination with the finance unit for the timely execution of payments.
Experience and technical skills:
- Professional with 1 year of experience (Administration, Logistics and related fields are desirable but not required)
