Who we are

Urgent Action Fund-Africa (UAF-Africa) is a consciously feminist and women’s human rights pan- African Fund, registered in Kenya and Zimbabwe. Operating as a virtual organisation, the Fund boasts of strategic presence in Africa’s three sub-regions- East Africa: Nairobi- Kenya, Kampala-Uganda; Southern Africa: Harare- Zimbabwe, Lilongwe- Malawi, Antananarivo- Madagascar, Johannesburg, Pretoria & Cape Town- South Africa, Gaborone- Botswana; and Central Africa: Yaoundé & Douala – Cameroon. Recognising the need to move resources rapidly on a continent where opportunities and threats arise and decline quickly, UAF-Africa uses a Rapid Response Grant making mechanism to support unanticipated, time sensitive, innovative, and unique initiatives that promote women’s agency in democratic governance, economic, environmental and climate justice, natural resources governance and conflict transformation while protecting their personhood, integrity, and rights.

Position Overview

UAF-Africa Nairobi office requires a qualified Office Assistant who will form part of the Nairobi office support team. The Office Assistant will be under the direct supervision of and reporting to the Operations Assistant. She will also work closely with UAF-Africa staff.

Specific Responsibilities

The Office Assistant shall conduct various activities to support the office activities, staff and visitors.

This support will include but not be limited to:

  • Report on duty according to the stipulated reporting schedule.
  • Cleaning the offices, boardrooms, and other spaces. Ensuring cleanliness of furniture, fittings, and office equipment.
  • Prepare office beverages and organise snacks and lunch for staff, staff meetings and visitors as necessary.
  • Maintenance and cleaning of all kitchen equipment.
  • Maintain an up-to-date inventory of office equipment & supplies.
  • Ensure that utility bills such as telephone and electricity bills are paid on a monthly basis.
  • Organise quarterly deep cleaning of the office and fumigation when necessary.
  • Assist in the disposal, receipt and/or movement of office equipment, and supplies.
  • Maintain adequate sanitary supplies (tissue paper, sanitisers, detergents, and towels).
  • Ensure office vehicles are clean.
  • Liaise with the landlord’s maintenance team to ensure cleanliness of the washrooms and minor office repairs are done.
  • Carry out document filing and retrieval as required during audits.
  • Answering telephone calls and attending to visitors as necessary.
  • Carry out any other duties within the overall function of the job.

Qualifications

  • High school education.

Skills and Experience

  • At least three to five years of progressively responsible work experience.
  • Excellent organisational skills and ability to multitask.
  • Good inter-personal skills.
  • Good work ethic and ability to work under pressure.
  • Proficiency in spoken and written English.
  • Basic computer skills.
  • Flexibility and willingness to travel as required on work-related trips.
  • An understanding of feminist gender issues is required.
  • Passionate about UAF-Africa’s mission and commitment to teamwork.

Expected Conduct

  • Maintaining strict confidentiality at all times in relation to any information, documents, or materials accessed, observed, or disclosed during the course of the work.
  • Punctuality – Report to work on time consistently.
  • Honesty and trustworthy are paramount in this position.
  • Quick learner who is able to work with minimal supervision.
