Purpose

Provide administrative and operational accounting support to the project, ensuring the proper organization, safekeeping, and control of active and inactive financial documentation. Also, manage the safekeeping and timely supply of office materials for the Finance staff, contributing to business continuity. Handle confidential information, including bank details and Plan International’s financial statements, under strict standards of ethics, security, and discretion.

MAIN RESPONSIBILITIES

1. Process financial information and maintain files.
2. Prepare and analyze financial information.
3. Support payroll preparation, ensuring compliance with national financial regulations and labor laws.
4. Update tax information in the current systems.
5. Manage fixed assets in SAP.

ACTIVITIES FOR EACH RESPONSIBILITY
1. Process financial information and maintain files.
– Control, deliver, monitor, and safeguard checks or batch transfers
– Process entries in SAP
– Monitor petty cash
– Seal and safeguard supporting documentation.
– Confirm payment status electronically with the bank and send the information to the Administrative Support teams of the Program Units, Suppliers, and CO Staff
– Perform the Supplier settlement process in SAP
– Support the administration/custody of the accounting file
– Process month-end closing adjustment entries
– Perform check settlement in SAP.
– Process daily and month-end closing adjustment entries
– Process advance settlement entries for partners, communities, and staff
– Support the accountant in reviewing payment requests.
– Process invoice and tax records in SAP
– Manage/maintain Plan Inc.’s accounting records
– Process prepayment records
– Process weekly income and bank charge records

Success indicators:
– Monthly accounting closings processed with complete information within the established schedule.

2. Prepare and analyze financial information.
– Reconcile fixed assets in SAP.
– Reconcile payroll.
– Issue advance reports to Partners, Communities, and Staff and send them to the Program Units and CO Staff, copying the Head of Finance.
– Monitor advance payment due dates for Partners, Communities, and Staff with the Administrative Support of the Program Units.
– Report payroll entries charged to each Grant.
– Record adjustments to advances for Partners, Communities, and Staff based on feedback from the Offices.
– Support the accountant in reconciling balance sheet accounts
. – Provide supporting information/documents to the Grants area.
– Prepare bank reconciliations and follow up on reconciling items for accounting purposes.
– Reconcile prepayments and follow up on reconciling items for accounting purposes.

3. Update tax information in the current systems
– Consolidate and process electronic tax withholding receipts.
– Safeguard and maintain an up-to-date file of withholding receipts.
– Prepare the report for the tax return.
– Reconcile taxes and follow up on unreconciled items for their timely recording.

– Tax returns and tax information submitted within the deadlines established by the country’s tax system.

4. Fixed Asset Management in SAP
– Recording asset purchases
– Recording asset disposals
– Performing monthly depreciation and posting to the corresponding accounts

Success indicators:
– Financial reports issued according to user requirements within the established schedule.

Problem Solving:
In transaction management, there may be challenges associated with system saturation, which limits the agility of processes; in this context, it is key to optimize planning and time management for the timely processing of payments and document management, ensuring greater efficiency and compliance in operations.

Responsibility in emergency situations:
Support in the accounting and financial management processes aligned with the Emergency Protocol for Finance.

Ensures that Plan International’s global policies for the protection of children and young people and gender equality and inclusion are fully integrated in accordance with policy principles and requirements, including relevant implementation standards and guidelines as applicable to their area of ​​responsibility. Qualifications:
– Bachelor’s degree in Accounting.
– Minimum 2 years of experience in related positions such as Accounting and/or Finance Assistants.
– Proficiency in Financial Systems.
