Doctors Without Borders, an international humanitarian medical association created in 1971, provides medical assistance to populations whose lives are threatened: mainly in cases of armed conflict, but also epidemics, pandemics, natural disasters or exclusion from care.
The executive assistant works within the General Directorate of the French section of MSF.
Composed of a General Manager, a Deputy General Manager, a Steering Manager and 12 staff members, the General Management team is in charge of the strategic steering of the Association, the supervision of the management of its human, financial and operational resources, it ensures its proper functioning and the control of risks.
It initiates and supports transformation projects, promotes cross-departmental collaboration and cooperation, and assists management in leading structuring projects. It also contributes, in conjunction with the MSF Movement, to international coordination initiatives and bodies.
The General Directorate includes within its scope: the prevention and management of abuse, the solidarity committee, MSF’s commitments regarding the reduction of carbon and environmental footprint, internal communication and data protection.
MISSION
Reporting to the Director General, the main activities of the position are:
Provides secretarial support to the general manager
- Manages the CEO’s schedule and directs requests to the appropriate contacts.
- Prepares and organizes field visits and international trips
- Drafts emails and letters on behalf of the general manager, if necessary.
- Provides proofreading and translation of documents
- Develops and updates the document filing and archiving system, in accordance with internal procedures
- Prepares meetings, including international ones (coordination & logistical organization)
Facilitates the flow of information and organizes communication between management and teams
- Centralizes and organizes the internal dissemination of key processes, information and documents under the responsibility of senior management
- Organizes and produces the minutes of meetings of the general management and the management committee
- Contributes to monitoring the implementation of decisions, in direct contact with the relevant staff.
- Coordinates the flow of information with internal (MSF France, MSF Movement) and external stakeholders
- Manages the General Directorate page on the MSF intranet
- Contributes to internal communication projects (managing dedicated spaces or tools)
- Organizes the integration of new members of the department
Contributes to the planning, monitoring and reporting of the General Directorate’s commitments
- Participates in the production, centralization and consistency of elements of the annual report and other financial statements
- Contributes to the organization and monitoring of annual planning, including budget planning
Provides administrative management for the General Management ( 16 people)
- Contributes to the day-to-day administrative management of the department, including HR and purchasing matters
- Participates in the recruitment process (drafting job postings, coordinating with the recruitment department, organizing interviews).
Takes charge of the department’s budget management by delegation
- Prepare the budget with senior management
- Ensures budgetary monitoring for all department activities
As part of monitoring specific cases
- Collects and synthesizes information
- Writes and formats documents
- Solicits and coordinates the various stakeholders
Desired profile
Experience :
Similar professional experience within a structure of comparable size is essential.
Experience in a non-profit setting is desirable.
Writing skills.
LANGUAGES :
French C2 and English C1
SKILLS :
Maîtrise de Pack Office (Power point, Word, Excel)
Aptitudes :
Extremely rigorous, strong adaptability, very organized, very autonomous, sense of initiative, strong interpersonal skills.
Analytical skills. Discretion and confidentiality.
Employment conditions
Status: Permanent full-time contract. Management position, based in Paris.
Compensation and benefits:
- €47,800 gross annual salary over 13 months
- 22 days of RTT (reduced working time) per year
- Working remotely according to MSF’s rules (2 days/week).

- Meal vouchers worth €12 (60% covered by MSF)
- 50% reimbursement of public transport pass (weekly, monthly or annual) OR bicycle mileage allowance (€0.25 per km, limited to €450 per year)
