TERMS OF REFERENCE: Recruitment of a Project Assistant
1. Context
As part of the implementation of activities for a project funded by the United Nations Environment Programme ( UNEP ) and implemented by the ICU (Istituto per la Cooperazione Universitaria) , a Project Assistant is being recruited. The Assistant will be responsible for supporting the project team in the daily management, administrative, organizational, and logistical monitoring of activities, as well as in coordinating with institutional and technical partners.
2. Place of assignment
- 5 days a week : ICU Tunisia office in Tunis.
3. Mission duration
Fixed-term contract, in accordance with national legislation. Duration: 12 months.
4. Responsibilities
Under the supervision of the DESAIN Project Manager and the Head of Mission of ICU Tunisia, the Project Assistant will be responsible for:
- To ensure the daily administrative, logistical and operational monitoring of the DESAIN project activities.
- Organize meetings, workshops, seminars, training sessions and field trips for the team.
- Drafting meeting minutes, reports, periodic activity reports and follow-up summaries.
- Ensure the management, classification and systematic archiving of project documentation (contractual documents, deliverables, correspondence, supporting documents).
- Supporting the preparation and monitoring of payment files, service or purchase contracts, narrative and financial reports related to the project.
- Maintain day-to-day administrative liaison with project partners, including local representatives from the public and private sectors.
- Conduct field visits to monitor project activities or to collect documentation or information important for the smooth running of the project.
- Contribute to the development and dissemination of internal and external communication materials for the DESAIN project.
5. Desired Profile
Formation
- University degree (Bachelor’s or Master’s) in management, business administration, sustainable development, environmental science, energy engineering or a similar discipline.
Professional experience
- Professional experience of between 2 and 4 years in administrative support or development project management.
- Proven experience in at least one of the following areas is required (experience in two or three areas will be a significant asset):
- Operational and/or logistical support for international cooperation projects of NGOs;
- Administrative and financial monitoring of environmental, energy or sustainable development projects;
- Organization of multi-stakeholder events and management of partner relationships.
- Prior experience on projects funded by international donors (UN, EU, bilateral agencies or others) is required.

6. Required skills
- Good knowledge of administrative and logistical management procedures for development cooperation projects.
- Excellent command of French and English (spoken and written).
- Perfect mastery of the Office suite (Word, Excel, PowerPoint) and online collaborative work tools (Calendar, Drive, meeting tools).
- Excellent writing, summarizing and document management skills.
- Strong sense of organization, rigor, autonomy and team spirit.
- Ability to manage task priorities and meet tight deadlines.
