Project Assistant (AVRR) At International Organization for Migration

Under the general supervision of the Director, Coordination Office for the Mediterranean and Chief of Mission in Italy and Malta, the coordination of the Head of the Migration Management Unit (MMU) and the direct supervision of the Project Coordinator/Manager, the incumbent will be responsible for assisting in the implementation of the Assisted Voluntary Return and Reintegration (AVRR) project RI.VOL.A.RE. in RE.TE.”.

Core Functions / Responsibilities:

  • In close cooperation with the Project Coordinator/Manager and the AVRR IOM Team, support the Italian referral network in providing general orientation/counselling to potential returnees;
  • Provide general AVRR information and pre-departure counselling to potential returnees, carrying out individual interviews for their inclusion in the AVRR IOM Italy project;
  • Submit, via the online system of the Ministry of Interior, to the Prefectures of the migrants’ place of residence the returnees’ AVRR application, keeping daily contacts with relevant institutions for the approval to depart (Prefectures and Police Offices);
  • Contribute to the data collection and the elaboration of the assisted returnees profiles, keeping track of nationalities involved, in order to regularly compile analysis and statistical reports;
  • Assist in organizing medical and non-medical escorts, including by establishing the necessary contacts with the local health institutions and preparing the administrative aspects (contracts, visa, payment fee, etc.);
  • Provide clerical support in all the necessary administrative internal steps for contracting service providers, in close coordination with the IOM Rome Procurement Unit (external bids, POs payment requests, etc.);
  • Request and collect the necessary travel documents/laissez-passer from the Consulates of the Country of Origin in Rome or other cities in Italy;
  • Assist in preparing all relevant AVRR training materials and training tools, and assist in delivering information/training sessions on AVRR to stakeholders possibly exposed to potential returnees, if needed;
  • Support in the development of outreach info-material, in the elaboration of returnees’ success stories, project factsheets and bulletins;
  • Prepare all relevant documentation related to the project (payment/reimbursement/travel) and regularly report to the Project Coordinator/Manager on the activities performed by the AVRR Field Officers in the assigned duty stations, if needed;
  • Travel on duty as may be required;
  • Perform other tasks related to the execution of the project, as assigned by the Project Coordinator/Manager.

Required Qualifications and Experience:

Education

  • High school diploma with four years of relevant professional experience, or
  • University degree in International Relations, Law, Social, Political or Economic Sciences, Social Work, Migration or Development Studies or a related field from an accredited academic institution with two years of relevant professional experience.

Experience

  • ​​At least 2 years of experience providing direct assistance to migrants and/or other vulnerable groups;
  • Experience in organizing events (offline and online);
  • Experience working in a multicultural team.

Skills

  • ​Strong organizational, communication and time management skills;
  • Familiarity with administrative procedures;
  • Ability to multi-task, prioritize and work independently;
  • Demonstrated proficiency with Microsoft Office applications such as Word, PowerPoint, Excel, Outlook and Teams;
  • Drafting, writing and reporting skills;
  • Ability to work under pressure.

Languages

  • Fluency in Italia​n​ and English is required (oral and written);
  • Any other language is considered an asset.
