The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide.

These positions are located in the United Nations Global Service Centre, Brindisi, Italy, in the Warehouse & Distribution Team, Delivery and Return Section, within the Supply Chain Service. These positions are under the supervision of the Senior Logistics Assistant.

Responsibilities

Within delegated authority, the Logistics Assistant will be responsible for the following duties:

Supply
• Prepares Material Request Orders for transfer of assets to various missions.
• Assists with preparation of presentations for submission to Headquarters Committee on Contracts (HCC).
• Assists staff within the Section with respect to relevant procedures and practices.
• Organizes, monitors and maintains contract files and Section’s manuals.
Transportation
• Liaises with relevant divisions, e.g., procurement, accounting, with respect to verification and processing of invoices.
• Obtains funding certification of requisitions and Letters of Assistance (LOAs).
• Records and monitors contract activity.
• Maintains contact with relevant headquarters and mission staff with respect to provision, co-ordination, monitoring and status of aircraft services.
• Monitors insurance coverage of aircraft fleet.
General
• Initiates relevant action with respect to requisitions and Letters of Assist (LOA) and monitors same.
• Prepares LOA and obtains the funding certification
• Maintains and monitors relevant databases, e.g., stock levels of various supply items.
• Prepares requisitions and enters applicable data to initiate requisition process. Provides updates of requisition status on a regular basis.
• Generates relevant status reports.
• Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
• Assists with visualizations and updating information material such as web pages or brochures.
• Performs other duties as required.

Education

High school diploma or equivalent is required.

Job – Specific Qualification

Driving Licence type “C” is desirable.

Forklift permit (3 Ton and above) is desirable.

Driving Licence type “B” is required.

Work Experience

A minimum of 3 (three) years’ experience in supply chain management, logistics or related area is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher.

Experience in Air Cargo loading operations is required.

Experience working with SAP/ERP is required.

Experience in warehousing is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this position, fluency in English (both oral and written) is required.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
