THE CONTEXT AND OBJECTIVE OF THE POSITION:
The post holder is expected to take responsibility for carrying out a range of processes and activities related to Administration and Finance requiring interpretation of standard guidelines and practices. The incumbent must be able to act, carry out, recommend and assign tasks to other members of the support staff following the established action plan.
RESPONSIBILITIES/OBLIGATIONS:
Under the direct supervision of the sub-office head and the technical supervision of the Finance and Management unit
the WFP Administration, the Administrative and Finance Assistant will carry out, among others, the following tasks
: (note that these tasks are only generic and will not be exhaustive):
- Maintain and ensure that the assets allocated to the sub-office are well managed and kept in inventory;
- Ensure the application of the system for the digitalization of service requests (Online vehicle request, WeTravel and other functionality in the booking Hub);
- Ensure the supply/reporting of the availability and use of fuel,
supplies and other under-office consumables;
- Help prepare administrative reports, depending on your level, take notes during meetings, if applicable, and make corrections to texts or recorded data, when requested
- Ensure the classification and archiving of documents or files processed and closed at the level of
administration and finances of the sub-office;
- Ensure the supervision of the fleet of light vehicles and their proper functioning based on PAM directives and standards;
- Supervise support staff and ensure the cleanliness of the under-office space;
- Welcome and direct visitors to the under-office;
- Record documents and correspondence in the sub-office and forward them to the relevant units within the deadline; and set up a file classification and archiving system
- Assist all other sub-office units in their administrative requests to
l’Administration ;
- When requested, ensure and assist in the preparation of travel documents in accordance with WFP rules and procedures;
- Maintain liaison with logistics managers in Port-au-Prince to follow up on regular vehicle maintenance, keeping legal documentation up to date (insurance and registration card), monitoring repairs in Port-au -Prince.
- Ensure that drivers regularly check vehicles, keep them clean and report any anomalies observed;
- Actively participate in carrying out the annual physical inventory of under-office assets and in emergency preparedness;
- Prepare the monthly report required by the Finance Section including reconciliation and replenishment of petty cash, according to its correct use
- Participate in the compilation of information from various sources so that the manager can prepare reports on budgets, accounting, finances and statistics;
- Perform any other duties related to the position, if necessary.
- REQUIRED QUALIFICATIONS AND EXPERIENCE:
- Formation :
- Completion of secondary education. A post-secondary certificate in the functional area considered is desirable.
