Target Hiring Range: CAD 87,784 – 96,562 / GBP 52,790 – 58,069 per annum (dependent on the successful candidate’s work location)

ROLE SUMMARY:

The Rewards and Payroll Specialist provides operational support in the implementation of the Total Rewards strategy, policy and plan across all Right To Play (RTP) countries. You will be responsible for managing the Canadian UK and Expat Payrolls ensuring employees are paid on time and correctly. You will also be responsible for managing the benefits schemes in HQ, the annual recognition scheme and the descriptions bank and supporting organizational development initiatives.

You will be a member of the Global People and Culture (P&C) team and part of the Global P&C Community of Practice for knowledge sharing and learning purposes.

WHAT YOU’LL DO:

#1: Rewards and Recognition (25% of Time):

  • Supports the Director, Global Total Rewards and Organisational Development (OD) at the time of budgeting and forecasting with payroll and benefit data.
  • Works closely with Global P&C team to collate data to participate in the annual salary surveys and is directly responsible for submitting salary data information for the National Offices (NOs).
  • Supports the organisational annual pay increase process and production of salary increase letters for Canada, HQ UK based employees and HQ globally located staff.
  • Researches and analyses rewards information to inform changes in rewards initiatives.
  • Leads and coordinates the annual global staff award programs and implements it end-to-end – from designing the survey, to collating results, coordinating with committee members, organizing final award program and facilitate awards for winners.
  • Tracks that service award recipients receive their chosen award and certificates.
  • Proposes, costs and implements recognition initiatives that support staff engagement.
  • Arranges for greeting cards for HQ staff as required.

#2: Payroll Management (25% of Time):

  • Processes bi-weekly payroll for Canada staff and handles routine payroll requests and updates, ensuring that release of salaries is completed by the Chief Financial Officer (CFO).
  • Processes monthly payrolls for UK and Expatriate employees and handles routine payroll requests and updates, ensuring that release of salaries is completed by the CFO.
  • Conducts year-end payroll reviews and coordinates with the payroll provider the preparation and distribution of T4 and T4A slips.
  • Works with ADP to report the payroll to WorkSafe BC (BC staff only)
  • Reports the payroll to the Ministry of Finance and files EHT annual return and payment once per year.
  • Manages and responds to all communications and requests from Canada Revenue Authority (CRA)
  • Liaises with ADP to problem-solve interface issues, supports employees’ registration to the payroll portal (Workforce Now), and assists with queries and on-going requests.
  • Monitors legislation to ensure payroll compliance.
  • Processes monthly expat payroll, liaising with country office finance teams to handle on-going reimbursement and payment requests.
  • Provides monthly daily rate report and bi-weekly payroll reports to the Controller, including the Payroll Register, Company Totals Report and the Financial Reporting Worksheet.
  • Supports the completion and submission of the annual Public Sector Salary Disclosure (PSSD) report.
  • Handles sensitive and complex payroll situations, liaising with internal teams and external stakeholders such as lawyers or benefit providers.
  • Critically reviews and analyses current payroll processes in order to provide recommendations and solutions for opportunities to streamline processes.
  • Acts as P&C focal point for global payroll and provides guidance on global payroll administration and respective processes; support global expansion and work with 3rd party vendor to ensure payroll accuracy and compliance in multiple countries.

#3: Benefits Administration and Communication (20% of Time):

  • Administers Canada’s group benefits, including health benefits with Manulife, group RRSP with Industrial Alliance, and gym membership with GoodLife Fitness – and processes enrolments, terminations, salary changes and monthly payments and remittances.
  • Advises Canada based staff on entitlements and answer benefits related queries, troubleshooting issues if required.
  • Communicates the closure of benefits, last pay and vacation payout with employee on their departure.
  • Processes monthly payments of expat benefits premiums.
  • Prepares reports on employee salary and benefits etc. as required by the Director/CP&CO and facilitates the monthly compliance reporting.
  • Maintains the Terms and Conditions tracker per country.
  • Continuously monitors industry trends and developments to assesses current programs and recommend changes and enhancements.
  • In collaboration with the Director, Global Total Rewards and OD, develops integrated communication strategies to promote benefits programs as a valued component of the RTP Total Rewards offering.
  • Designs and delivers employee benefits campaigns, training sessions and intranet content to ensure program details are compelling, relevant, and clearly communicated.
  • Promotes and actively leverages available services to enhance benefits programs through the promotion of resources, webinars, and tools to support employees in the management of organizational and personal issues and concerns.

#4: Job Description (20% of Time):

  • Administers the Job Descriptions (JDs) bank for all RTP and ensures there is updated record of the Job descriptions, manages the job evaluation and JD trackers.
  • Coordinates Job Evaluation meetings and communicates the results of Job Evaluations and the approved JDs.
  • Liaises with department heads, team leads and Global P&C team to update and revise JDs.
  • Collaborates with Managers and Recruitment specialist to draft JDs and submit for review and approval.
  • Develops and updates HQ organizational charts on a monthly basis and gathers organisational charts from NOs and COs.
  • Supports the analysis of key organizational structure and design decisions, updates HQ organograms.

  • Acts as backup for the management of employee data in HRIS (MyPlayPortal) for HQ, NOs, Expat Staff and Globally located HQ staff making relevant changes as required.
  • Conducts spot check on salary and benefits data accuracy across the organisation.
  • Performs other duties as assigned and covers for absences in the P&C team.

WHAT YOU’LL BRING (ESSENTIAL):

EDUCATION/TRAINING/CERTIFICATION:

  • University Degree in related field (e.g. Human Resources, Business Administration).

EXPERIENCE:

  • Substantial experience in Human Resources including administration of Canada and international/global payrolls, salary surveys, compensation, and benefits administration.
  • Experience of working on a matrixed international development organisation.
  • Experience of working with outsourced payroll vendors.
  • Exposure and/or direct experience in total rewards approaches, job design and job evaluation systems.

  • Understanding of key elements of payroll and personal income taxation.
  • Advanced Microsoft skills (Word, Excel and PowerPoint).

SECTOR SPECIFIC KNOWLEDGE:

  • Understanding of RTP internal and external environment.

LANGUAGES:

  • Fluency in spoken and written English.

BONUS IF YOU’LL BRING (NOT ESSENTIAL):

  • Experience with ADP Workforce Now systems, SagePeople HRIS.
  • Additional languages Arabic, French, and/or Portuguese.
  • CHRP, CIPD and/or equivalent in experience.
  • Professional payroll certification.
  • Working knowledge of Microsoft Power BI.
