PURPOSE
ORGANIZE THE TRAVEL OF DELEGATES ON INTERNATIONAL MISSION (DMI) AND EMPLOYEES AT DOI HEADQUARTERS
IN SUPPORT OF THE MANAGERIAL ASSISTANT AS WELL AS THE PROCESSES ACCOMPANYING DEPARTURES ON
MISSION AND RETURNS
MISSIONS AND ACTIVITIES
MISSION 1 ORGANIZATION OF THE MOVEMENTS OF DELEGATES ON INTERNATIONAL MISSION (DMI) AND STAFF OF THE EXTENDED DOI (INCLUDING CDG, RHI, BDF) – 50%
■ Create the administrative file for hiring delegates: identity document, driving license, vaccination record
, criminal record, diplomas, previous work certificate, family record book, etc.
■ Edit the required administrative documents (OMI, Card CRF identity, letter of invitation)
■ Administer visa requests and associated administrative procedures
■ Issue route plan requests at the ticket office (air and rail) for all journeys
■ Proceed with the reservation and purchase of tickets air transport for departures/returns to headquarters.
■ Organize briefings/debriefings for departures and returns on mission.
■ Arrange accommodation solutions through the travel agency
MISSION 2 MAKE APPOINTMENTS – 30%
■ Make appointments for the medical examination for hiring DMIs.
■ Organize medical visits within tropical medicine departments (mostly Pasteur Institute): control the
passage of each employee in a suitable health structure on departure and return (including in the country
of origin if outside France)
■ Organize visits relating to stress management on departure and return, for DMI and monitoring their achievement.
MISSION 3 COMMUNICATION AND REPORTING – 15%
■ Administer the reimbursement of NDF in connection with the CDG and accounting
■ Check the eligibility of expense reports
MISSION 4 CLASSIFYING AND ARCHIVING – 5%
■ Update personnel files – in collaboration with the HR department – in electronic and
paper version
■ Update and monitor HR dashboards
