WHAT DO WE DO …
SOLIDARITES INTERNATIONAL (SI) is an international humanitarian aid association which, for more than 40 years, has provided relief to populations victims of armed conflicts and natural disasters by responding to vital needs, drinking, eating and shelter. Particularly committed to the fight against diseases linked to unsafe water, the leading cause of death in the world, SI implements through its interventions expertise in the field of access to drinking water, sanitation and promotion hygiene but also in the essential aspect of food security and means of existence. Present in around twenty countries, the SI teams – 2,000 people in total made up of expatriates, national staff, permanent staff at headquarters, a few volunteers, etc. – intervene with professionalism and commitment while respecting cultures.
JOB DESCRIPTION
The Support Assistant will be attached to the management controller and the Desk logistician, with a time distribution of approximately 50% for financial management/accounting tasks and 50% for those related to logistics.
Under the supervision of the management controller and the Desk logistician, the assistant:
Accounting :
- Assists the manager in his accounting tasks inherent to the missions
- Verifies the analytical and accounting assignments of the accounts of the different missions
- Checks the expenditure allocation tables between the different donors
- Supports the annual accounting closing and/or the half-yearly analytical closing of missions
- Uses SAGA accounting software (Mission)
Management :
- Supports the field: manages the daily needs of field administrators
- Participates in verifying mission budget monitoring
- Participates in the validation of the budgets of operation proposals submitted to donors
- Participates in the validation of intermediate and final financial reports of programs (financial document and budgetary narrative part) to be submitted to donors
- Support in the preparation of financial audits
- Participates in the validation of cash flow forecasts
- Participates in weekly and monthly meetings (Desk, Accounting, Logistics, Headquarters, etc.)
Logistics :
- Examines the documents for purchasing files carried out in the field or at headquarters (purchase order, quotations, quotation analysis, contract, etc.) and their adequacy with Solidarités International procedures.
- Participates in the creation of logistical documents for final reports for donors (verification of the presence of equipment in the inventory, preparation of equipment annexes, verification of compliance with donor procedures, etc.).
- Archives processed files in computer version.
- Participates in the processing of the monthly Logistics Pack (stock status, fuel monitoring, BCI monitoring, etc.)
- Checks and updates logistics tracking documents (telephone invoices, mission contacts, etc.).
Internship contributions:
- Discover how the headquarters of an NGO works as well as the relationships between headquarters and the field.
- Discover the different professions of Solidarités International in the field.
- Have a first approach to the functioning of a mission and the specific constraints.
- Know the administrative, financial and logistical functioning of a Solidarités International mission, with a view to going as an Administrator or logistician in the field.
- Know the requirements of donors.
- Improved Excel and mastery of Saga software.
- Be in direct contact with the field via expatriates.
YOUR PROFILE
- Bac +3/4/5 level, technical BTS and/or specific NGO support training such as Bioforce with a component in management and/or logistics.
- Successful and significant professional experience in the field of management (accounting, finance) and/or logistics (purchasing, transport, technical).
- Mastery of the most common office software, good knowledge of Excel is important.
- Good command of English (oral, written), Spanish is a plus.
- Autonomy and rigor.
IF WILL OFFER YOU THE FOLLOWING CONDITIONS
- Internship based at the SOLIDARITES INTERNATIONAL headquarters in Clichy (92), Clichy Town Hall metro station
- Intern with mandatory internship agreement.
- Bonus: 4.90 euros/hour
- The bonus is calculated in proportion to the actual hours of attendance over the month. (On average 1 month = 154 hours, or 22 days of 7 hours/day)
- Public transport covered at 50% by SOLIDARITES INTERNATIONAL
- Restaurant tickets at €8.90/effective day of training, with 60% participation from SOLIDARITES INTERNATIONAL
