SOLIDARITES INTERNATIONAL (SI) is an international humanitarian aid association which, for more than 40 years, has provided relief to populations victims of armed conflicts and natural disasters by responding to vital needs, drinking, eating and shelter. Particularly committed to the fight against diseases linked to unsafe water, the leading cause of death in the world, SI implements through its interventions expertise in the field of access to drinking water, sanitation and promotion hygiene but also in the essential aspect of food security and means of existence. Present in around twenty countries, the SI teams – 2,000 people in total made up of expatriates, national staff, permanent staff at headquarters, a few volunteers, etc. – intervene with professionalism and commitment while respecting cultures.

JOB DESCRIPTION

Within the HR department of Solidarités International and under the authority of the HR & Travel Administration Referent, the Travel Manager is responsible for the administrative and operational organization of travel for headquarters and expatriate staff. .es of the association in France & internationally.

The Travel Manager is also the preferred contact for partner travel agencies in matters of travel management.

He/she participates in projects of the HR Administration & Travel department and the HR Department.

Administrative management of departures

  • Creates administrative files for expatriates
  • Creates and sends the administrative documents necessary for country HR coordination
  • Participates in the monthly monitoring of departures

Logistical organization of employee travel

  • Obtaining visas
    • Prepares and monitors visa applications in conjunction with the internal and external stakeholders necessary for them
    • Creates and updates visa procedures for the countries for which he/she is responsible
    • Is a force of proposal in the event of a visa procedure being blocked
  • Travel management
    • Ensures the reservation of plane tickets
    • In conjunction with the HR Coordinator and/or Country Director, updates the administrative entry procedures of the countries for which he/she is responsible
    • In consultation with the travel agency, monitors the general evolution of airport openings & closures and is a force for proposals in the alternatives that can be provided.
    • Is force of proposal on the companies to favor, by carrying out an analysis of the usual risks (linked to planes, context, immigration).
    • Ensures hotel reservations & updates the reservation tracking table
    • Reconciles flight and hotel reservations and billing
    • Validates expatriate expense reports upon return from mission
    • Ensures the proper dissemination of the necessary information and smooth coordination with the missions and the various interlocutors at headquarters
    • Supports head office employees in the event of questions about their travel
    • Supports missions on the purchase of family break tickets in the field

Maintaining the HR fund and expenses

  • Ensures the management of the fund in conjunction with the Administrative and Financial Department
  • Is responsible for monthly hotel and airline billing

Definition of HR strategy, policies, frameworks & procedures

  • In connection with the strategy and annual plan of the Department, participates in the definition of the strategy and the annual plan of the HR Administration & Travel department
  • Participates in the definition and evolution of policies, frameworks and procedures in travel management
  • Participates in projects to constantly improve policies, frameworks and procedures in travel management
  • Participates in the definition and monitoring of travel dashboards, as well as their analysis

Link with our external service providers and the inter-NGO network

  • Participates in active collaboration with our external service providers (ticketing & hotels) to discuss operations and possible improvements
  • Maintains close links with the travel services of other NGOs

YOUR PROFILE

  • Formation : bac+3, formation de type BTS
  • Mastery of the most common office software (Word, Excel & Outlook),
  • Fluency in English essential
  • Responsiveness, rigor, very good capacity for anticipation, very good organization and coordination, good communication
  • Good prioritization skills. Good resistance to stress.

One more :

  • Experience within a travel department in a Humanitarian Organization or in another type of organization

IF WILL OFFER YOU THE FOLLOWING CONDITIONS

  • Position based at the headquarters of Solidarités International, in Clichy la Garenne (Metro Mairie de Clichy)
  • Contract – Executive status – Fixed-term contract Maternity leave replacement – 4 months minimum
  • Gross monthly remuneration of: €2,865 or €2,985 (2 levels) depending on the scale in effect at headquarters
  • Possibility of teleworking: 12 days of teleworking per month
  • Leave: 2.0833 CP/month and 1 day of RTT/full month of work
  • Mutual insurance (80%), restaurant tickets (60%), transport tickets (50%) covered by the association
