WHAT DO WE DO …

SOLIDARITES INTERNATIONAL (SI) is an international humanitarian aid association which, for nearly 40 years, has been providing assistance to populations victims of armed conflicts and natural disasters by responding to vital needs, drinking, eating and shelter. Particularly committed to the fight against diseases linked to unsafe water, the leading cause of death in the world, SI implements through its interventions expertise in the field of access to drinking water, sanitation and promotion hygiene but also in the essential aspect of food security and livelihoods. Present in around twenty countries, the SI teams – more than 2,000 people in total, and made up of expatriates, national staff, permanent staff at headquarters, a few volunteers, etc. – intervene with professionalism and commitment while respecting cultures .

JOB DESCRIPTION

Main missions :

Assist the Procurement Managers as well as the Purchasing Manager of the Logistics department in carrying out tasks relating to purchases for headquarters and the field.

Main objectives:

  • Assist the Procurement Managers and the Purchasing Manager with purchase requests from the various head office departments relating to supplies, services and works intended for the head office
  • Ensure the correct application of IS and donor procedures during the purchasing process
  • Understand purchasing issues in the humanitarian sector
  • Master the tools relating to purchasing, storage and transport
  • Master the internal procedures of Solidarités International and the procedures of the main donors of humanitarian aid
  • Ensure the link and circulation of information between the different interlocutors
  • Know the different programs and areas of expertise of Solidarités International

Main tasks :

  • Participates in the continuous improvement and monitoring of a consolidated supplier database accessible on LINK (organization’s purchasing management software) and on server.
  • Participates in the creation of specific articles on LINK that are part of the Solidarités International framework agreements
  • Participates in the creation of framework contract sheets allowing you to understand the ins and outs of how the contract works
  • Participates in the regularization of logistical documents linked to the new visual identity of Solidarités International
  • Assists procurement managers in managing headquarters orders in compliance with Solidarités International procedures;
    • Supports orders. Ensures the link with other headquarters services on questions relating to purchasing
    • Prepare purchasing files and process orders with suppliers
    • Receives orders
    • Updates the orders database and shares them with the missions and headquarters services
    • Closing and archiving purchasing files, ensuring their compliance
    • Monitors supplier payments with supplier accounting, communicates alerts to the purchasing manager and/or Purchasing Manager
  • Assists the purchasing manager with purchasing planning for the various head office departments for 2024-2025
  • Participates in the dissemination and application of purchasing procedures to different services and departments
  • Participates in various meetings involving the logistics department;
  • Participates in commercial links with different suppliers; ensures product monitoring for operational needs; ensures the updating of the supplier database

YOUR PROFILE

CONTEXT

The tasks to be performed are transversal and therefore require autonomy, rigor and versatility. Knowledge, or at least a desire to understand the humanitarian environment and its constraints is essential.

The tasks described in this announcement are likely to evolve depending on the projects in progress at the headquarters and according to needs.

SOLIDARITES INTERNATIONAL undertakes to offer the intern a variety of tasks as well as internal training to prepare for departure allowing them to usefully strengthen their training/experience with a view to future humanitarian engagement.

This alternation constitutes an opportunity to understand in depth the functioning of a humanitarian NGO, its constraints and the different approaches.

PROFILE

  • Bac +4/+5 training in international purchasing, international trade, supply chain
  • Real interest and motivation for international associations and humanitarian work
  • Writing and administrative skills
  • Relational ease, ability to work in a team
  • Rigor, organization, autonomy, analytical capacity, proactivity
  • Informatique : Suite Office (Word, Excel, Power point, Outlook)
  • Fluent English

IF WILL OFFER YOU THE FOLLOWING CONDITIONS

  • Internship based at the SOLIDARITES INTERNATIONAL headquarters in Clichy (92), Clichy Town Hall metro station
  • Intern with mandatory internship agreement.
  • Bonus: 4.90 euros/hour
  • The bonus is calculated in proportion to the actual hours of attendance over the month. (On average 1 month = 154 hours, or 22 days of 7 hours/day)
  • Public transport covered at 50% by SOLIDARITES INTERNATIONAL
  • Restaurant tickets at €8.90/effective day of training, with 60% participation from SOLIDARITES INTERNATIONAL
