Project Assistant At International Organization for Migration

The Liaison and Policy Unit focuses on the dynamic developments of the international migration discourse, and notably global events surrounding the Global Compact on Migration, the Global Compact on Refugees at the national, regional and global level. Given the specifics of the respective region of West and Central Africa, keeping abreast of migration trends, policies and evolving issues in order to ensure a close follow up policy implementation and application is part and parcel of this unit’s work. The unit further keeps stock of the evolving migration trends in the region which often have spill over impacts in the regional context. This is key in terms of speaking from the regional perspective to ensure timely and informed guidance to donors, policy makers and governments. Lastly, this department seeks to identify contributions, project ideas, reinforce and design new partnerships and obtain donor funding for the region.

Responsibilities and accountabilities

  • Support note taking, review and preparation of meeting minutes/note for files and organizing relevant documents on online folders and assist in the drafting of reports that act as documentation after each webinar/event, when needed.
  • Provide translation for French to English or English to French for letters, power point presentations and/or assist in interpretation during meetings.
  • Assist with the preparation and background research for presentations of power point presentations, and compilation of talking points, in coordination with relevant colleagues at Country level, Regional and Headquarters.
  • Provide project development support; drafting regional and country specific proposals or partnership opportunities, particularly for countries where IOM lacks or has limited presence. Review, edit and provide technical inputs for project concept notes and proposals; donor reports and other documents refed from country missions to the RO.
  • Support the organization of regional trainings and capacity building initiatives for country missions, government and civil society partners by compiling materials and assisting in the coordination of the event. This includes administrative and logistical support to the Executive Office and the Liaison and Policy Unit, including but not limited to support in travel arrangements, procurement as well as to the organization, implementation and follow-up of workshops and meetings.
  • Contribute to the coordination and implementation of the Regional Office’s 2020-2024 Strategy for West and Central Africa and the preparation of the RO Strategy for 2025-2029.
  • Assist in day to day support to the team in terms of administrative and logistical preparations for travel, coordination with internal and external interlocutors, follow up and financial tracking of projects and programs.
  • Support knowledge management efforts in terms of updating and coordinating the unit repository as well as to assist in its usage/rollout for the other units.
  • Provide support in outreach to external partners in terms of fundraising and new opportunities as well as assist in the follow up.
  • Support with the preparation and implementation of Regional Workplan, monitoring and tracking, the regional chapter for the Global Appeal, including coordination with country offices, compiling information, and text review and preparation.
  • Liaise with Country offices, and units for the preparation of events, meetings, compiled documents to effectively jointly contribute and submit.Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education:

  • High school diploma in Political/Social Science, International Relations, Law Enforcement, Security or Disaster Management with five years of relevant professional experience.

or,

  • Bachelor’s degree in Political/Social Science, International Relations, Law Enforcement, Security or Disaster Management with three years of relevant professional experience from an accredited academic institution with four years of relevant professional experience.

Experience:

  • Working experience with UNs and/or International NGOs on security management, coordination, programme support, data, and administration management.
  • Excellent writing and communication skills; ability and proven track record to prepare and present clear and concise papers and reports in French and English
  • Excellent organizational and coordination skills
  • Strong analytical and creative thinking skills.
  • Personal commitment, flexibility, efficiency, and drive for results; ability to perform research and make effective decisions under time pressure.
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds.

Skills

  • Excellent computer skills and high level of proficiency in Microsoft Office applications including Excel, Word and Teams Tasks;
  • Knowledge of IOM financial, procurement and/or human resources rules and regulations is a distinct advantage.

Languages
