The Administrative Assistant provides all administrative support and shares pertinent information with all staff within the department on concerns related to Information Management aligned with the institutional guidelines. S/he liaises with the Information Management Officer of the delegation with regards to tools, best practices and support colleagues in the Protection department to implement ICRC protocol/guidelines related to both internal and external communication. S/he is responsible for providing quality administrative support to the entire Protection team.
MAIN RESPONSIBILITIES
- Independently drafts and finalizes correspondence, internal presentations, minutes of the meetings and other documents, and shares information among users.
- Imparts knowledge and ensures Protection staff are aware of ICRC rules regarding correspondence in compliance with the institutional guidelines and protocols.
- Provides administrative, reporting, and secretarial assistance to the Protection Team.
- Organizes internal meetings, external events (meetings, symposiums, workshops) and internal training sessions; liaises with external contacts such as service providers and follows up on expenses by ensuring invoices are followed up on.
- Acts as the Information Management Relay for the protection department in Manila.
- Supports in implementing information management projects.
- Applies information management instructions and ensures compliance with procedures, including in terms of user training for the protection staff both in Manila and in the sub-delegations when needed.
- Keeps digital and paper files up to date and ensures records are managed properly.
REQUIRED PROFILE
- University degree in business administration/business management or equivalent.
- At least 3 years of experience in a similar function.
- Good command of spoken and written English
- Strong interpersonal skills and the capacity to work effectively in a team.
- Strong organizational skills with the ability to multi-task and prioritize tasks.
