SUMMARY:
The Financial Coordinator reports directly to the Finance Director. The incumbent is responsible for assisting the Finance Director in financial management tasks such as processing transactions, ensuring that all transaction documents are complete and properly filed, reconciling bank accounts, and preparing financial reports for local management.
WHAT YOU DO:
#1. Accounting and financial reporting (50% of time)
- Ensure all documents are complete, accompanied by appropriate supporting documentation, reviewed and approved before being processed for payment and filed accordingly.
- Ensure that all payments are made on time.
- Oversee the day-to-day management of financial transactions; assist the Finance Director/Manager in controlling and monitoring project finances in the country.
- Perform monthly petty cash counts as well as spot checks of petty cash.
- Review all petty cash expenditures and replenishment requests.
- Oversee routine banking services including collection of bank statements, bank transfers, cash deposit and withdrawal.
- Participate in cash flow planning and forecasting for the duty station.
- He is responsible for the preparation, maintenance and reconciliation of cash books.
- Record all financial transactions in the accounting management system.
- Produce monthly bank reconciliation statements and consolidate for review by the CFO
- He is responsible for monitoring the budget and verifying the correct use of codes.
- Assist the CFO in preparing financial reports and forecasts.
#2. Financial Implementation and Compliance (45% of time)
- Produce regular financial reports upon request.
- Review field activity financial reports in a timely manner (verify coding, arithmetic accuracy, documentation, authorization) and provide feedback to ensure timely submission to the Finance Director.
- Provide assistance during internal and external audits.
- Ensures that an appropriate financial policy and procedural framework are in place to guide the organisation’s financial decision-making.
- Ensure that he/she is aware of the grant conditions in force and that he/she complies with them.
- Support the Finance Director in training staff on RTP rules, policies and procedures and donor requirements.
- Assist the CFO in ensuring that partners are aware of and comply with the procedures in the partnership manuals.
- Provide partner monitoring, including field visits, and ensure that all their reports and supporting documentation comply with RTP and donor policies and procedures.
- Stay abreast of program priorities and occasionally travel to the field to monitor financial issues and procedures.
- Keeping abreast of the latest developments in taxation and other related laws in the country; ensuring that RTP complies with all statutory regulations of the government, including the granting of licenses for the payment of taxes and social security funds; ensuring that these deductions are submitted to the relevant authorities in a timely manner.
- Ensure all financial records are complete and up to date, including National Social Security Fund (NSSF) and taxes.
#3. Performs other tasks as assigned (5% of time)
MINIMUM QUALIFICATIONS REQUIRED:
EDUCATION/TRAINING/DIPLOMA:
- Bachelor’s degree in accounting, finance, business administration or a related discipline.
EXPERIENCE
- 2 years of experience in accounting or grant management.
PERSONAL SKILLS/ABILITIES:
- Ability to work independently with little supervision
- Ability to work under pressure and meet deadlines
- Integrity and attention to detail
- Ability to multitask and meet deadlines.
- Good analytical skills
- Ability to work with staff at all levels and in all departments
TECHNICAL SKILLS
- Proficiency in Microsoft applications, including Excel and Word
- Good command of financial software
- Documentation maintenance skills
- Good written and oral communication skills
- Good knowledge of accounting practices, policies and procedures
LANGUAGES
- Fluency in spoken and written French, knowledge of English is an asset.
DESIRED QUALIFICATIONS (an asset)
- Previous professional experience within an international NGO.
