Job Description:

Government Liaison:

1. Supporting Head of Office in liaison related tasks, determining the need and taking necessary action by contacting with related parties. Preparing the documents and filing them.

2. Coordinate with Turkish Government Agencies to support the operations and program activities in Türkiye and in Syria.

3. Coordinate between the internal departments and Government Units by playing a key role in MoU/Protocol process; ensure the documents are well-prepared, signed, stored and filed.

4. Assisting Head of Office in the next registration process; preparing necessary documents, taking

5. Attend Liaison Cluster Meetings, liaison related workshops and seminars and preparing ‘meeting notes’ for any 3rd party gatherings; create, keep and update institutional memory.

6. Visit the local authorities and agencies regularly which are based in Gaziantep, Şanlıurfa and Kilis. To support the visits of ministry and any high-level authorities.

Operational Support and Support to WVI departments:

1. Prepare, present and follow all documents related with permissions; foreign visitors, meeting and workshop organization, office visits etc.

2. Communicate with departments on regular basis to get information about MoUs and protocols; to prepare the protocols, getting pre-approval from the authority before signatory process under the supervision of Head of Office.

3. Facilitate border-crossings of the deployed staff and guests; follow the announcements and regulations.

4. Support the wok permit application process in close coordination with P&C department.

5. Follow the occupational health and safety procedures and regulations in close coordination with P&C department. Liaise with the contractor company and inform the team about necessities, compulsory trainings, health checks etc. Inform the related departments about completing the mandatory tasks in the office.

6. Draft, track and amend the physical files in the office. Keep the archive active and updated.

Other Responsibilities:

1. Any other duties to be performed assigned by Management.

2. Daily tasks assigned by direct supervisor.

Required Professional Experience:

Min 5 years of experience in administration, relation management, communication, liaison departments in a businesses, NGOs or in Governmental Agencies.

Required Education, training, license, registration, and certification :

University Degree in Social and Administrative Sciences, Political Science and Government, International Relations, Law or related departments.

Preferred Knowledge and Qualifications:

1. Detail-oriented; ability to prepare the official documents without mistakes

2. Excellent communication skills; have excellent relations with colleagues and 3rd parties

3. Experience in using office programs and ability to use technological equipment

4. Ability to work under pressure and with tight deadlines

5. Experience in working with Government Agencies; able to understand the official definitions

6. Excellent planning skills

7. Cross-cultural sensitivity; easy adopt to international working culture

8. Experience in NGOs is an advantage
