JOB PURPOSE
The HR and Adminstration Officer (HRAO) is responsible for supporting the HR and administrative function of Nonviolent Peaceforce Iraq’s (NPIQ) operational programme. The HRAO supports the operational team and all staff in the Iraq Country Programme. The HRAO is the in-country HR ensures staff are in compliance with policies and procedures.
KEY OBJECTIVES/RESPONSIBILITIES:

Personnel Management
Ensure personnel files are complete with :
Recruitment process for all positions
CV of the staff
Up to date contract
Performance Appraisals
Leave Requests
Job Description
Adherence to highest level of confidentiality.
Track staff contracts and performance management timeline.
Manage staff timesheets and ensure timely submission of properly completed monthly timesheets.
Ensure up to date annual leave and R&R planning.
Assist HR Manager and SMT with general support to HR functions
Manage Service Agreements, time sheets and payments.
Act as HR focal point for all staff and carry out HR capacity building and briefing for staff.
Make regular visits to field teams to provide on-site HR support.
Recruitment
Manage and participate in the recruitment process as appropriate, which may include assisting line managers with short-listing, participating in interviews if needed and carrying out reference checks.
Vacancy posting internally and externally as appropriate, if needed.
Liaison with potential candidates and assemble required documentation.
Lead on HR induction process for new staff and ensure that induction checklists are used
Administration
Assist Operations Department in registration, work permit, travel, visa and residency requirements for expat staff and visitors as required.
Provide general support to other departments as requested by Line Manager
Provide administrative support for staff domestic and international travel (e.g. booking, airport transport, liaison with travel agents).
Any other task as reasonably requested by line manager.

QUALIFICATIONS AND COMPETENCIES
Education, Knowledge and Experience
These are skills, knowledge and experience that are important for effective performance.
Minimum of 2 Years of professional experience in a similar position
Diploma degree in management, business administration and/or Human Resources.
Fluency in Arabic and English are mandatory.
Strong cross-cultural communication and resilience skills.
Strong sense of confidentiality and adoptability for a healthy work environment
Able to establish and maintain effective working relations with people of different cultural backgrounds.
