ORGANIZATIONAL CONTEXT

The United Nations World Food Programme (WFP) is the humanitarian organization that saves and changes lives, providing food assistance in emergencies and working with communities to improve nutrition and build resilience.

WFP has been present in Ecuador since 1964, as an innovative partner that supports government policies to promote food and nutritional security, gender equality and food sovereignty, directing its actions to support the most vulnerable populations.

PURPOSE OF THE POSITION

The position holder will carry out standard operational support processes in the area of ​​Procurement, in order to facilitate the efficient delivery of services.

MAIN RESPONSIBILITIES (indicative and non-exhaustive list)

1. Gather information clearly intended to serve as a basis for the drafting of documents and the preparation of reports by other staff members.

2. Respond to queries and forward them, where appropriate, to higher levels, in order to provide timely and correct service to internal customers.

3. Provide support for the processing and management of routine administrative tasks in the procurement area, to contribute to the effective and timely management of resources.

4. Provide standard document review and correction services to assist in the production of accurate documentation.

5. Maintain established standard files to ensure that information is accurate and readily available for the function in question.

6. Detect simple data discrepancies, such as missing information, and report them to senior staff to help clients perform their jobs.

7. Ensure data integrity to facilitate the availability of accurate information in institutional systems.

8. Provide guidance on routine methods and practices of operational support to less experienced colleagues to ensure that services are delivered consistently and in accordance with established requirements.

9. Work with a wide variety of people, gathering feedback where appropriate, to assist in providing operational support to staff.

OTHER POSITION REQUIREMENTS

1. Identify suppliers according to requirements and support them in registering in the WFP internal system. Supplier database management.

2. Print, photocopy, scan and archive the backup of the purchasing process files.

3. Prepare and review tender documents in accordance with the type of tender that applies. Use the tender portal and provide training to suppliers on how to use the platform and on the regulations to be considered when preparing their offers.

4. Organize purchasing panels or committees for minimum amounts and prepare all bidding documentation (minutes, matrices and contractual documents).

5. Use the tender portal and ERP to register purchase orders.

6. Monitor the validity of contracts and provide support with quotes and market studies.

7. Perform any other required activities.

MINIMUM STANDARD QUALIFICATIONS AND EXPERIENCE REQUIRED

Training: Completion of secondary education. Some training in the related field will be valued.

Experience: Minimum of four years of professional experience with increasing responsibilities in the relevant operational area.

Knowledge • Competence in the use of office equipment and computer packages and skills , such as Microsoft Word, Excel and other tools.

. Knowledge of daily tasks and work methods in order to complete processes with minimal supervision.

. Tact and courtesy to exchange information with a wide variety of people.

. Ability to detect data discrepancies and resolve issues requiring attention.

. Ability to provide basic on-the-job guidance or training to junior staff.

Languages: Fluent in Spanish. Intermediate level of English (desirable).

DESIRED EXPERIENCE TO PERFORM THIS POSITION

Familiarity with procurement or supplier management processes.

. Management of purchasing management systems or ERP (SAP).

. Attention to detail and organizational skills.

. Ability to work in a team and under pressure.

Contract Duration: 12 months with possibility of extension.

The position is open to Ecuadorian citizens and foreigners with a work permit in Ecuador.
