Overview:

IBTCI is a leader in monitoring, evaluation, research, and learning (MERL) and has extensive experience supporting third-party monitoring (TPM) initiatives for USAID and other international donors. To further advance knowledge sharing and strengthen the MERL community, IBTCI is organizing a webinar/event focusing on TPM (Best Practices, Lessons Learned, Insights). This event will engage MERL practitioners, donors, and technical experts to discuss challenges, best practices, and innovations in the field.

Objective:

The Webinar/Event Coordinator will be crucial in planning, organizing, and executing a high-quality webinar/event focused on TPM (Best Practices, Lessons Learned, Insights) in the MERL field. The Coordinator will support the technical lead in identifying and engaging expert speakers, drafting compelling content, and ensuring smooth event logistics to maximize participant engagement.

Responsibilities

Primary Responsibilities:

Event Planning & Coordination:

  1. Collaborate with the technical lead to define the webinar/event agenda and objectives.
  2. Identify and coordinate with potential speakers and panelists, including MERL and TPM professionals, practitioners, and thought leaders across USAID practitioners, donors and academia.
  3. Lead outreach to speakers, guests, and participants, providing timely updates and event information.
  4. Support an event timeline and ensure adherence to deadlines for planning and preparation.
  5. Work with MERL staff and align project/event goals

Content Development:

  1. Assist in drafting content for the webinar/event, including speaker biographies, session descriptions, and promotional materials.
  2. Review and refine technical content to align with the event’s themes and objectives.
  3. Support the creation of participant engagement materials such as discussion questions, polls, and feedback forms.

Logistical Coordination:

  1. Support Coordination of logistical aspects of the webinar/event, including scheduling, platform setup, and technical testing.
  2. Ensure seamless execution of the webinar/event by preparing a run-of-show document and troubleshooting during the live session.

Stakeholder Engagement:

  1. Maintain clear communication with the technical lead, speakers, and participants, addressing questions or concerns promptly.
  2. Build and maintain a database of MERL professionals and organizations for outreach and potential future events.

Post-Event Activities:

  1. Assist with post-event follow-ups, including speaker thank-you notes, participant surveys, and reporting on key outcomes.
  2. Compile event recordings and materials for dissemination to participants and broader audiences.

Deliverables:

  1. Speaker Roster: Finalized list of confirmed speakers and panelists with biographies and session descriptions.
  2. Event Content: Draft and final versions of promotional materials, session descriptions, and discussion guides.
  3. Run-of-Show (Action Plan) Document: Detailed agenda outlining timing, roles, and logistics for the event.
  4. Participant Engagement Report: Summary of participant questions, polls, and feedback.
  5. Post-Event Summary: Brief report including key takeaways, participant statistics, and recommendations for future events.

Qualifications

Minimum Requirements:

  • Bachelor’s degree in a relevant field (e.g., Communications, International Development, or Event Management).
  • At least three years of experience in Training/Event/Workshop Planning, preferably in the MERL or international development field.
  • Strong understanding of Monitoring, Evaluation, and Learning (MEL) and TPM concepts and practices.
  • Excellent written and verbal communication skills.
  • Proven ability to work with diverse stakeholders, including high-level professionals and subject matter experts.
  • Proficiency in webinar platforms (e.g., Zoom, Webex) and Microsoft Office Suite.
  • Strong organizational skills with attention to detail and deadlines.

Education: Bachelor’s degree in a relevant field (e.g., Communications, International Development, or Event Management)

**Supervisory Responsibilities:**This position does not have supervisory responsibilities. The Webinar/Event Coordinator will report directly to the Technical Lead and work closely with other members of the MERL team.

Pay Transparency Statement: We are dedicated to ensuring a thoughtful, compliant, and equitable approach to employment compensation. Our commitment includes conducting a comprehensive salary analysis that considers individual skill sets, qualifications, business needs, internal compensation data, and industry and labor market surveys. The anticipated pay range for this position is $40 to 50 an hour.
