The Administrative Assistant provides administrative support in a high-impact, high-value environment. The role reports to the Chief Technology Officer and supports three other senior members of the Digital Innovations Group (DIG) team. Possessing a thorough knowledge of Opportunity’s organizational structure and programs, the Administrative Assistant serves as the support backbone of the team, assisting with calendar management for the CTO, team meeting coordination, expense report management, and limited travel planning.
RESPONSIBILITIES include the following. Other duties may be assigned.
- Complete a broad variety of administrative tasks for the four team members, including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries, and meeting agendas; and compiling documents for meetings.
- Project manage the annual budget development for four departments, including facilitating conversations with the senior members of the DIG team, compile historical data and work closely with finance personnel to resolve issues and incorporate adjustments.
- Assist with the planning and execution of Opportunity’s annual CoLab events and program.
- Maintain strong communication among the DIG team and other internal departments, building relationships throughout the organization.
- Liaise with internal team members and external stakeholders to schedule meetings and distribute relevant meeting materials on behalf of the DIG team.
- Department invoice and contract management.
QUALIFICATIONS
- 3-5 years of experience in an administrative assistant role.
- Bachelor’s degree desired, or equivalent work experience
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Demonstrated record of exceptional standards, including attention to deadlines, budgets, and quality of work.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
- Excellent written and verbal communication skills with the ability to effectively relate across all levels of the organization and in a global environment demonstrating cultural awareness and sensitivity.
- High level of skill in Word, PowerPoint, and Excel.
- Highly resourceful & proactive team-player, with the ability act independently.
- An understanding of and a commitment to advancing the mission and values of Opportunity International.
LANGUAGE SKILLS
- Written and verbal fluency in English required, fluency in French or Spanish desirable.
TRAVEL REQUIREMENTS
- Ability to travel up to 5% of time for team meetings and events. Travel would likely be within the US and Opportunity’s program countries.
