Assistant Program Officer At The Asia Foundation

SUMMARY OF JOB RESPONSIBILITIES

Supports the Coalitions for Change – Social Development Team on project implementation and monitoring.

Consults with finance and administration staff on all logistical, administrative and financial aspects of program and grants management related to the Coalitions for Change Program.

Internal

Extensive interaction with Coalitions for Change team members, Program Officers of other TAF Program Units, as well as with the Finance, Administration and Grants Units.

External

Regular contact with Coalitions for Change Program project partners and grantees for project monitoring purposes.**

Interaction with government and non-government organizations working on basic education in the Philippines.

Interaction with Australia Department of Foreign Affairs and Trade (DFAT) program officers, as necessary.

REQUIREMENTS

Experience: Minimum of three (3) years professional experience, preferably with development organizations.

Education: Bachelor’s degree. Masters units preferred, including relevant training.

Other:

  • Excellent verbal and written communication skills in both English and Tagalog. Experience in communications development an advantage
  • Proficiency in Microsoft Office Suite and Cloud-based data management platforms expected
  • Strong time management skills and professional organizational abilities
  • Strong attention to detail and ability to multi-task
  • Knowledge of the Philippine NGO community and government agencies particularly those working in social and human development issues
  • Knowledge of DFAT or other international donor agency requirements and regulations

Title: Assistant Program Officer

JOB FUNCTIONS

Program Administration

Draft Letters of Grant, Letters of Amendment, Letters of Contract and correspondence related to the activities of the Coalitions for Change – Social Development Unit of the Foundation.

Collect data and prepare drafts, under supervision, and submit the Monthly Schedule of Activities, Quarterly, Mid-Year and Annual Reports and send them to relevant TAF officers and donors/funders.

Monitor reporting schedules and due dates of Consultants Contracts and Grant Agreements.

Provide administrative and logistical assistance to Coalitions for Change – Social Development Team, i.e. travel arrangements, events/training/workshop organizing and management

Prepare meeting notes, narrative reports, success stories, media alerts, press release, bullets and communications quarterly reports for the unit.

Will have some external interactions with partners, consultants, funders, etc.

Will have some partner management responsibilities

Represent the Foundation’s Coalitions for Change – Social Development Unit as requested by the Social Development Senior Program Officer, Program Officer or Strategic Advisor

Assist the Senior Program Officer and/or Program Officer track program expenditures and targets.

Grants Administration

Manages the unit’s filing system (i.e. Consultants’ contracts, Grant Agreements) both electronic and hard copy.

Other Support

Provides assistance to The Asia Foundation-Philippines’ internal activities (i.e. brownbags, Holiday Party, etc.) as requested

Other duties as assigned by the Representative, Assistant Representative, and the Program leader for Coalitions for Change
