The International Commission of Jurists (ICJ) is a worldwide network of judges and lawyers united in affirming international law and rule of law principles that advance human rights.
The ICJ is offering a consultancy. The purpose of the consultancy is to provide finance logistical and administrative support, to ensure smooth implementation of the ARP projects between 1 September 2021 and 31 December 2021 at an effort level of 3 days a week.
RESPONSIBILITIES
The Finance and Administrative Consultant holds the following responsibilities:
General logistics
- Support proper coordination between technical-legal, administrative and financial aspects of projects in coordination with the national and regional team, ICJ-EI Finance and the Finance & Administration Department in Geneva;
- Travel, accommodation, visa and per diem arrangements for activities and events linked to the program;
- Assist with coordinating the recruitment of staff, consultants and interns, including circulating vacancy announcements, preliminary sorting of resumes and arranging interviews;
- Maintain leave records and prepare monthly leave reports;
- Update and maintain contact and other databases;
- Keep financial and project records in compliance with ICJ and donor procedures;
- Perform filing and general administrative tasks.
Office administration
- Office operations such as maintenance, mailing, shopping, supplies, equipment and errands;
- Organize the use of post and courier services;
- Handle and maintain office stocks and assets through regular inventory;
- Coordinate graphic design, printing and distribution of all publications and outputs;
- Assist with IT related issues, which includes liaising with IT support;
- Manage relationships with service providers; and
- Ensure the proper up-keep, maintenance and professional appearance of the office premises.
Support in Accounting
- Assist in preparing accounting documents;
- Assist in recording accounting entries;
- Administer all payments of the office bills by petty cash;
- Assist in the preparation of budgets, internal cost analyses and financial reports;
- Assist in the project and organizational audits;
- Assist in preparing PAFs by providing quotations from several service providers;
- Register and dispatch approved PAFs;
QUALIFICATIONS
The successful candidate will have:
Education & Experience
- A post-school qualification in finance, administration or a related field or commensurate relevant practical experience;
- Advanced knowledge of Microsoft Office, spread sheet and word-processing programmes;
- Knowledge of Accounting software an asset.
- At least three years’ experience in finance and administration or a related area of work;
- Experience with an NGO an advantage;
- Experience in working on EUROPAID funded projects desirable.

*NB: Must be in possession of the necessary documentation to work legally in South Africa.*
