Accounting Assistant ( national position ) At HEKS / EPER

Throughout 2020 and 2021, HEKS has been developing its presence in Venezuela, from the exploratory mission carried out in October 2019 to our current presence, with an office in Caracas, one in Guasdualito, Apure State and another in Puerto Ayacucho Amazonas State. Until now, HEKS works mainly in the areas of Water, Sanitation and Hygiene ( ASH ) and Food Safety.

The organization aims to continue developing the good implementation and management of its livelihood and food security activities in the mission in Venezuela, therefore you need to fill a Accounting Assistant position in Caracas.

As part of the start of a new project in Water, Sanitation and Hygiene, Prevention and Control of Infections, the organization needs to fill a position of Accounting Assistant in Caracas. The Accounting Assistant works in coordination and under the direction of: Administrator Caracas. The Accounting Assistant is in charge of supporting the management of the administrative, financial and accounting aspects of HEKS / EPER in Caracas-Venezuela, in coordination and under the direction of Administrator Caracas, with whom he works closely.

The vacancy is for a national position.

DESCRIPTION OF THE POSITION

Objectives and activities

The Accounting Assistant position has the following objectives:

  • Goal 1: Accounting
    • Control of compliance with the rules in the purchase procedures
    • Receive and review invoices and proof of expenses incurred with the advances to be justified.
    • I support the request for advances and the reception and validation of travel legalizations
    • Ensure that the cost supports meet donor conditions and international standards and that your file is properly preserved.
    • Support in monitoring accounts payable for their timely cancellation.
    • Archive and manage all physical and digital accounting documents.
    • Control of compliance with administrative and financial regulations.
    • Support in the constant updating of accounting tools, in order to allow monitoring and control of expenses.
    • Support in sending to headquarters the documents and information necessary for accountability to donors and any internal or external audits that will be carried out.
    • Support the control of bank accounts, as well as carry out monthly reconciliations.
    • Apply all procedures in accordance with tax and tax return laws.
    • Support audits carried out in the country and transmit to headquarters the documents of all projects to be audited at headquarters.
  • Goal 2: Treasury
    • Notify Base Logists of payments made to suppliers.
    • Support in the consolidation of payment files for shipping at headquarters
  • Goal 3: Management, supervision and control of expenses
    • Weekly movement planning
    • Contribute to the timely implementation of the institutional tools and financial, accounting, administrative and logistical procedures of HEKS EPER and financial institutions.
    • Contribute to the organization’s compliance with the country’s tax laws, as well as regulations for the prevention of money laundering and terrorist financing for non-profit organizations.

REQUIRED TITULATION AND EXPERIENCE

Technologist or Professional in mid-career training in Public Accounting.

Required experience:

  • Accounting Experience, national and municipal taxation, general administrative management, with an emphasis on general file management and minor savings banks

Required skills:

  • Orientation to work for objectives. Ability to work flexibly, and to develop and adapt to multiple tasks at the same time.

  • Excellent analysis capabilities.
  • Good communication skills.
  • Ability to work in complex environments and to ensure that internal and external stakeholders meet deadlines (good prioritization and time management capabilities).

  • Excellent computing and IT capabilities (specifically Microsoft Excel and accounting software).
  • Diligent and trustworthy person who pays proper attention to detail.
  • Excellent ability to work as a team and social skills.
  • Professional, cooperative, efficient and effective work attitude.
  • Ability to work autonomously.
  • Excellent planning and organization skills. You must be able to predict risks and propose alternative solutions.

CONTRACTUAL CONDITIONS

  • Labor Contract with Law Benefits, Trial Period established by LOTTT (30 days).
  • Cancellation according to HEKS pay tables
