About the job

Kvinna till Kvinna has established operations in the MENA region since 2001 with a regional office in Jordan, and country offices in Jerusalem, Beirut, Erbil and Tunis, and currently supports more than 50 women’s rights organizations in the region.

Kvinna till Kvinna opened an office in Amman in 2006 to manage the support to Jordanian partner organizations.

The Administration and Logistics Assistant (ALA) is responsible for overall office administration and arranging the provision of general services and logistics for Kvinna till Kvinna’s Amman office, including supplier management, travel and event/meeting logistics.

Your tasks will include, but not be limited to:

  • Responsible for administrative and logistical support in the context of new staff arrival (i.e. transport, accommodation, visas, residency and work permit, etc.)
  • Responsible for maintenance, registration and insurance of Amman office cars;
  • Administrative support in the context of the preparation and submission of annual government financial reports and act as administrative focal points for governmental ministries, in close cooperation with the office finance staff;
  • Support to management with regards to legal and rental issues;
  • Support management with drafting of any official correspondence and its translation into Arabic, if required;
  • Management of office supply stock, requests and purchases, such as stationary, refreshments, cleaning material etc.;

About you

Your work is characterized by openness and ability to build relationships with a wide variety of people. You work with patience, the ability to adapt and be flexible. You need to at least have:

  • Bachelor’s degree or equivalent in Administration, Human Resources, Management or similar.
  • Minimum three years of relevant work experience within international development cooperation or similar fields.
  • Proven experience of office administration and logistics.
  • Proven experience of organizing meetings, booking travels, maintaining filing system, etc.
  • Proven experience of coordinating and maintaining contracts with service providers.
  • Knowledge of requirements of local authorities and public institutions in relation to the operation of an International Non-Governmental Organisation [INGO].
  • Proficiency in Microsoft office (Word, Excel, Power Point, Outlook).
  • Experience of working in/or knowledge of the region, particularly Jordan;

Languages: Excellent written and spoken Arabic; very good working level of spoken and written English.
