Administration Officer – Caracas ( Only Venezuelans ) At Norwegian Refugee Council

The purpose of the Administration Officer position is to provide support to the coordination service offered by the International Forum to member organizations in Venezuela from Caracas, through the organization and execution of the administrative activities associated with it and direct support to the Representative of the Forum of NGOs and collaborators, including the Board of Directors. The following is a brief description of the position.

General Responsibilities:

  1. Ensure compliance with the administration actions of the Forum’s annual plan.
  2. Support with the implementation of the NGO Forum’s coordination, communication and information management activities.
  3. Implement procedures and activities interchangeably within the function or basic competence as delegated.
  4. Organize and execute tasks according to priorities and standards.
  5. Develop and maintain knowledge of the area of work specialization in which technical assistance and support are provided, in order to be more effective in supporting the team.
  6. Address the resolution of daily problems in accordance with the agreed procedures, priorities and standards for the work area.
  7. Prepare and develop required status reports.
  8. Ensure the proper physical and digital archiving of documents.
  9. Promote and share ideas to strengthen the functions of your role.
  10. Keep strict reservation of all the information that you have knowledge by reason of your trade and that is private in nature, confidential or whose communication may cause harm to the populations with which it works and to NRC.

Specific responsibilities:

  1. Support with the travel organization for the Forum Representative and for visitors as needed ( sort tickets and hotel reservation management ) and be the focal point for travel in Caracas.
  2. Contribute to the socialization of the Forum’s action plan and other relevant documents and policies.
  3. Receive and process payments from Forum members.
  4. Support the coordinator for monitoring the NGO Forum budget.
  5. Desarrollar y gestionar contactos con interlocutores particulares (ej. embajadas y organismos multilaterales) a solicitud del Representante del Foro.
  6. Preparar, gestionar y registrar las comunicaciones y notas oficiales con órganos y entes públicos venezolanos, así como organismos multilaterales, a solicitud del Representante del Foro.
  7. Organizar actividades, eventos y reuniones específicas, a solicitud del Representante del Foro o del Consejo Directivo.
  8. Las demás asignadas por el supervisor en el cumplimiento del objetivo del cargo.

Qualifications

Competencias profesionales:
Profesional universitario en Administración, Gestión de Negocio, carreras en Ciencias Sociales o carrera afín.

Competencias genéricas para este cargo:
• Mínimo tres (3) años de experiencia comprobada en un cargo similar o asimilable.
• Experiencia mínima de un (1) en cargos similares con algún organismo nacional, internacional, con Agencias de Naciones Unidas y/o contexto humanitario.
• Experiencia previa de trabajo en contextos complejos.
• Documentar resultados relacionados con las responsabilidades del puesto.
• Manejo bueno de inglés (deseable).

Competencias destrezas, conocimientos y experiencia específicos:
• Experiencia comprobable relacionada con las responsabilidades del cargo.
• Conocimiento de normativa legal contable y tributaria (deseable).
• Conocimiento en manejos de inventario (deseable).
• Habilidades para el trabajo en contextos multiculturales.
• Experiencia y conocimiento avanzada en el uso de MS Office y otros paquetes informáticos.
• Conocimiento en soporte de equipos informáticos (Laptops, impresora, entre otros).
• Porcentaje de viajes 10%
