Established in 1951, IOM is a Related Organization of the United Nations, and as the
leading UN agency in the field of migration, works closely with governmental,
intergovernmental and non-governmental partners. IOM is dedicated to promoting humane
and orderly migration for the benefit of all. It does so by providing services and advice to
governments and migrants.
Context:
Under the direct supervision of the Director of the IOM Office to the UN, the Senior Staff of
the Network Secretariat in New York and the overall guidance of the Head of the Network
Secretariat in Geneva, the incumbent will be responsible for all administrative and logistic
support to the Network secretariat in New York, including the logistical support to the
organisation of the International Migration Review Forum and other related events.
Core Functions / Responsibilities:

Provide all administrative and logistical support to the Network Secretariat.
Provide all administrative and logistical support to meetings of the Network, the
preparations of the International Migration Review Forum, the Migration week
and other high-level consultations.
Provide support regarding finance, travel and human resource issues in liaison with
the Network Finance Officer in Geneva and the Senior Liaison and Policy Officer in
New York.
Assist the Network secretariat with all procurement and payment procedures, as
required.
Oversee the Travel Authorization (TA) processing and necessary administrative
arrangements for the preparation of STAs of Network secretariat colleagues.
Maintain contact lists of key interlocutors, including UN entities, Member States and
other relevant stakeholders.
Support coordination of arrangements for seminars, conferences, events and meetings
and assist in liaison with DGACM for the preparation of UN meetings.
Maintain up-to-date work unit files (both paper and electronic).
Draft routine correspondence, monitor and oversee the flow of documents and
communications from the UN Network on Migration Secretariat.
Schedule meetings and appointments for the UN Network on Migration Secretariat.
Support the office with general administrative duties, as necessary.
Perform such other duties as may be required.

Required Qualifications and Experience
Education
• University degree in Accounting, Finance, Business Administration or a related
field from an accredited academic institution, with two years of relevant
experience; or,
• Completed High School / Secondary school education with four years of relevant
experience.

Experience
• Experience in administrative and logistical support in the UN system;
• Experience in supporting the organization of big conferences and UN events;
• Experience in preparing clear and concise communications and coordination of
administrative activities;
• Experience in working in a multilateral system with deep familiarity of the UN
system, its secretariat, agencies, funds, programmes and organizations; working
also closely with international agencies, NGOs and other stakeholders, and
governments;

Skills
• Knowledge of IOM/UN regulations, policies and procedures;
• Knowledge of UN GA conference management services will be considered a
plus;
• Ability to work independently against tight deadlines in liaison with finance and
administrative teams.

Languages
• Fluency in English (Oral and Written)
• Working knowledge of French and/or Spanish is an advantage.
