Context:
Under the overall supervision of the Director, Coordinating Office for the Mediterranean and Chief of Mission in Italy and Malta and Representative to the Holy See (CoM), and the direct supervision of the Resource Management Specialist (RMS), the incumbent will be responsible for providing administrative and treasury support in accordance with the IOM policy and procedures.
Core Functions / Responsibilities:
- Review payments requests and supporting documents to ensure compliance with IOM financial rules and regulations in order to upload them in the IOM internal financial system “PRISM”, according to assigned PRISM roles;
- Process payments to suppliers, partners, consultants and staff members through bank transfers or bank cheques;
- Assist with control of bank transactions and bank statements for the monthly account and period-end closure; prepare and register receipts for self-payer projects;
- Verify the request of payments prepared by the Project Managers and register them before submitting to Revenue for the relevant accrual in the project;
- Check accuracy of Travel Authorization forms, related supporting documentation and register accordingly;
- Create and maintain a filing system for vouchers and other administrative documents;
- Provide information and technical guidance to all staff on treasury procedures and guidelines;
- Perform any other related duties as may be required.
Required Qualifications and Experience:
Education
- Secondary school, preferably in accounting, with four years of experience or university degree with two years of experience.
Experience
- Experience in administration and accounting and internal control procedures;
- Experience in the use of office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and data analysis.
Skills
- Knowledge of general financial and accounting rules and regulations;
- Knowledge of SAP system would be considered as an advantage;
- Desirable knowledge of International Public Sector Accounting Standards (IPSAS).
Languages
- Fluency in Italian and English (oral and written).
