The International Department of the Belgian Red Cross has the mission to contribute to the strengthening of the International Red Cross and Red Crescent Movement with a view to improving the resilience and living conditions of vulnerable people and their communities. To this end, we support the development and action of Red Cross partners abroad. In Belgium, we advocate for respect for International Humanitarian Law and carry out activities to restore family links.

Function :

Contribute to the mobilization of resources by guaranteeing the quality and administrative compliance of documents intended for donors

  • Proofreading of all documents submitted to donors (proposals, reports, requests for amendments, other correspondence): checking and drafting of administrative aspects of documents, correction of French, layout, printing, signing of documents if necessary
  • Coordination of the delivery of documents to donors: maintaining the unit’s schedule, reminding other members of the unit and the financial department of deadlines

Contribute to the capitalization and memory of the International Actions Service (SAI)

  • Ensure the paper and computer archiving of relevant documents relating to projects, partners and donors
  • Maintenance and regular updating of the unit’s capitalization documents (project history, project monitoring table)
  • Maintaining and updating mission contact details
  • In conjunction with the Administration and Finance department, maintenance and updating of the dashboard on financing contracts
  • Responding to mapping requests from the Red Cross and Red Crescent Movement

Management of the administrative and logistical aspects of the activities and events of the International Department

  • Review of Partnership Agreements, signing and monitoring
  • Organization of briefing/debriefing of Belgian Red Cross delegates
  • Management of administrative aspects of calls for tender managed by the unit (archiving of offers, response to bidders, minutes of the selection committee, payment, etc.)
  • In conjunction with the department’s administrative assistant, support for the organization of events for the International Actions Service and/or the Department at the logistical level

Contribute to organizational fluidity and the flow of information within the SAI and between the SAI and other services and departments of the Belgian Red Cross

  • In coordination with the department’s communications officer, participate in internal/external information and communication activities (for example: provide the necessary information and participate in writing articles and explanations for communication instruments, stand management at internal and/or external events)
  • Unit mailbox management
  • Note taking, report writing, if necessary, during meetings
  • In conjunction with the Administration and Finance Department, monitor payments and fund transfers

Profile :

  • Ideally, you have administrative training
  • You have at least two years of experience in a similar role (including internship)
  • You have a strong interest in the humanitarian aid sector and/or development cooperation
  • You have perfect written and oral command of French and a good knowledge of English. Knowledge of Dutch is an asset
  • You have good writing and organizational skills
  • You are proficient in the Office Suite (Word, Excel, Power Point, etc.)
  • You are dynamic and able to take initiatives
  • You are in agreement with the 7 principles of the Red Cross. Experience working or volunteering with the Red Cross Movement is a strong asset
