WORKING CONTEXT
CESVI is an Italian humanitarian organization, secular and independent, founded in 1985 in Bergamo. CESVI operates in 4 continents with emergency, reconstruction and development projects for local populations.
CESVI’s guiding principles include efficiency, which aims to keep operations management costs within acceptable levels to allocate as much as possible to beneficiaries, and the transparency obtained through a precise certification of the budget results of its economic management.
The Administrative Coordinator Area aims to supervise and monitor administrative / financial management and reporting of projects abroad. Support Area Managers in preparing the sharing costs plan for the assigned countries. It also follows the accounting closure of the projects subject to administrative and financial monitoring for the budget and for the budgeting and forecasting phases.
JOB DESCRIPTION
The selection is urgent and the resource will be inserted between October and November 2023.
The selected candidate will be included in the International Programmes Unit, under the supervision of the unit manager and in close coordination with the resources operating in HQ and abroad.
Activities assigned to the Administrative Coordinator Area include:
- Correct and timely preparation of the financial reporting of the projects / programs according to the Donor’s models and requests, preparation of the final financial reports, review of the accounts of the projects entrusted.
- Control of the administrative management of the projects / programs entrusted.
- Monitoring and application of the administrative procedures of the organization and of the donors.
- Quadrature and control of accounting data, bank statements, situations and accounting analyzes intended for the development of periodic and balance sheet situations ( internal controlling process )
- Preparation of internal audits and indication of the Finance Specialist and support for external audits.
- On the indication of his contact person, he performs missions to foreign offices for:
- administrative activity monitoring
- on-site audit preparation
- opening or closing of administrative offices
- – coverage of local administrators absences
- He deals with the capacity-building and training activities of the administrative / accounting staff who works on behalf of CESVI in the assigned countries.
ESSENTIAL REQUIREMENTS
- Degree in economic disciplines
- Experience of at least 3 years in reporting projects abroad
- Knowledge of procedures and reporting of the main national and international donors
- Previous experience in the use of accounting systems
- Ability to prepare project budgets as well as reading and updating BFU ( Budget Follow Up )
- Skills in the preparation of financial reports
- Accuracy and punctuality
- Confidentiality
- Excellent knowledge of Office computer systems ( Excel ) and Outlook
- Knowledge of the English language
DESIRABLE REQUIREMENTS
- Welcome knowledge of PCM ( Project Cycle Management )
- Welcome experience in audit management
- Knowledge of Sharepoint and NAV programs ( Microsoft Business Central )
- Knowledge of the French and / or Spanish language
