PROJECT DESCRIPTION:
An effective national response to COVID-19 requires collective efforts by the global community, multi-sectoral coordination at the national level, development partners, and other entities. The Meeting Targets and Maintaining Epidemic Control (EpiC) consortium is well positioned to support the Royal Thai Government (RTG), community partners, and the U.S. Agency for International Development (USAID) to mitigate the impact of COVID-19. This provides support to strengthen the Thailand Ministry of Public Health (MOPH), provincial, and community capacity to reduce the transmission of COVID-19 and mitigate its impacts on morbidity and mortality. Its objectives are (1) to accelerate widespread and equitable access to and delivery of safe and effective COVID-19 vaccinations (2) to reduce morbidity and mortality from COVID-19, mitigate transmission, and strengthen health systems, including to prevent, detect, and respond to pandemic threats.
JOB SUMMARY:
- The position of “Administrative Coordinator (based at Department of Disease Control)” is responsible for administrative and logistics works, including COVID-19 and other related diseases for Research Unit, Department of Disease Control, Ministry of Public Health by coordinating and managing the internal and external official documents, research-related documents, financial documents and also preparing the meetings, writing the meeting minutes and following up the decisions made in the meetings.
- Employment term: December 2021 – July 2022 (8 months).
KEY RESPONSIBILITIES:
- Coordinating and managing the official documents and administrative works in accordance with the missions of the Research Unit
- Supporting the Research Coordinator of the Research Unit to do the project documents, internal and external official documents of Research Unit, and documents related to procurement, budget, and also responsible for conduiting the activities of Research Unit.
- Participating in monitoring and evaluation and reporting of the research implementation of Research Unit.
- Assisting for data collection and report summary of the research projects as well as other relevant projects such as action plan and budget planning.
- Participating in planning and analysis of budget and implementation plan of the research projects.
- Responsible for financial receipt and payment and checking for the official documents regarding financial receipt and payment of Research Unit. Also, checking for the completion and accuracy of the official documents regarding finance, accounting, budgeting, and reimbursement for research projects.
- Preparing the meeting, checking the readiness of meeting venue and equipment, recording the meeting discussion, writing the meeting minutes, and following up the agreed upon decisions from the meetings.
- Other duties related to research projects regarding COVID-19 and other related diseases as assigned
EXPERTISE AND COMPLEXITY:
- Good coordination and management skills
- Knowledge and experience in managing official document system of the government agencies
- Basic English communication skills
- Multi-tasking skill
- Be able to work under the pressure within time constraints
TYPE AND NATURE OF CONTACTS:
- Work station is based at Research Unit, Department of Disease Control, Ministry of Public Health.
- Routine coordination between FHI 360 staff and team of Department of Disease Control
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:
Usual office working conditions, as well as working from home conditions; ability to travel domestically
EDUCATION/EXPERIENCE:
- Bachelor’s degree in public administration, business administration or related field.
- Working experiences with government agencies or public organizations is preferable.
